Job Summary The Marketing Admin provides administrative, project and campaign support to the Marketing & Communications department in support of Bethel Woods Center for the Arts' marketing, advertising, communications and customer engagement efforts. This entry-level position plays an important role in keeping department projects organized and moving forward, supporting marketing campaigns and reporting, maintaining departmental resources, and coordinating select program and event activities. The ideal candidate is highly organized, detail-oriented, resourceful and eager to learn, with strong communication skills and the ability to manage multiple priorities in a fast-paced arts, entertainment and nonprofit environment. Job Duties Provide day-to-day administrative and project support for the Marketing & Communications department. Responsible for invoicing, accounts payable, budget reconciliation and tracking for all paid media expenses, and departmental T&E Assist with marketing campaigns supporting concerts, festivals, The Museum, camping, education programs, special events and other institutional initiatives. Support social media content and routine website updates and maintenance. Conduct research for marketing plans, presentations and special projects, including audience, competitive, media, tourism and industry research. Prepare presentations, reports, meeting materials and other departmental documents as needed. Maintain organized digital files, marketing documentation and shared departmental resources. Assist in building e-mail marketing lists Participate in department meetings and project planning and maintain notes and action items as needed. Campaign Research, Purchasing & Reporting Assist with purchasing print, radio, out-of-home, and television advertising in support of annual and event specific marketing plans Assist with marketing reporting by gathering campaign results, audience information, geographic data and other performance metrics. Assist with the development, distribution and analysis of customer surveys. Coordinate and maintain regional event and tourism listings, including Facebook, ensuring Bethel Woods programs and events are accurately represented across relevant platforms. Assist with research and information gathering to support audience development, customer experience and other marketing initiatives. Festival & Event Support Coordinate band bookings for select Bethel Woods festivals and seasonal programs, including Harvest Festival, Peace, Love & Pumpkins, and Peace, Love & Lights. Research potential performers and assist in developing entertainment lineups appropriate for each program. Provide onsite marketing and event support for festivals, concerts and special events as assigned. Support Sponsor fulfilment /activation for marketing deliverables Special Requirements Associate's or Bachelor's Degree in Marketing, Communications, Business Administration or a related field preferred; relevant internship or professional experience will also be considered. Previous internship or entry-level experience in marketing, communications, arts, entertainment, tourism or a related field preferred. Excellent organizational and time-management skills with strong attention to detail and accuracy. Strong written and verbal communication skills. Proficiency with Microsoft Office, particularly PowerPoint, Excel, Word and Outlook. Comfort learning new digital platforms, marketing technologies and project-management systems. Experience with Monday.com, survey platforms, website content management systems, Ticketmaster products or CRM platforms is a plus. Ability to conduct research, organize information and assist in preparing clear reports and presentations. Ability to manage multiple assignments and deadlines in a fast-paced environment. Self-motivated, resourceful and willing to learn, with the ability to work both independently and collaboratively.
