Job Description

Job Overview Technology & Business Systems Manager — HRT / Telemedicine We are looking for a hands-on Technology & Business Systems Manager to help us build and develop the technology infrastructure of an established HRT/telemedicine practice. The primary focus of this position is building, customizing, and implementing a CRM/EMR system that fits the way our company actually operates. We are currently evaluating GoHighLevel, Studio Escrow, and other platforms and need someone who can help determine the right system, build it out, integrate it with our existing tools, and make it easy for our staff and management to use. This is a builder role, not simply a consulting role. We are looking for someone who can understand what we need, figure out the best way to accomplish it, and actually build and implement the systems. We are not looking to hire someone whose primary role is to recommend software and then hire someone else to do the work. The ideal candidate understands both the business and healthcare/telemedicine environment and can balance security, privacy, and compliance considerations with practical, user-friendly systems. What We're Looking For Experience building and customizing CRMs, EMRs, or complex business systems Experience with healthcare, telemedicine, medical practices, or other regulated environments is a major plus Strong understanding of integrations, APIs, automation, and AI Experience with Microsoft 365, Teams, Outlook , and business automation Ability to take a business process, understand what we're trying to accomplish, and turn it into a functioning system Strong problem-solving skills and the ability to figure things out independently Builder mentality — someone who can create and implement solutions rather than simply tell us what software we should buy Ability to work directly with the CEO/Owner and translate ideas and business goals into technology and processes Someone who is comfortable taking ownership of a project from concept through implementation
CRM / EMR
Build — Primary Responsibility The CRM/EMR build is the immediate and most important priority of this position.
The system will need to:
Build and customize CRM/EMR workflows around our specific practice and business processes Integrate with our VoIP phone system to track inbound/outbound calls and texts Capture and organize leads from Google, social media, website traffic, and other sources Centralize patient/client information, staff notes, sales activity, and communications Set up and integrate AI into our team's day-to-day workflow. We operate primarily on Microsoft 365, Teams, and Outlook , and want to make better use of AI and automation throughout the company Create detailed reporting for sales, marketing, operations, and HR Function as an EMR or integrate with an appropriate EMR Build automated email, text, follow-up, and lead-nurturing campaigns Create systems and automations that improve efficiency for both staff and management Build integrations between the various systems we use so information flows properly without unnecessary manual work Help create a system that gives management a clear view of leads, patients, sales, marketing, staff activity, and overall business performance Potential to Grow Into a Larger Role For the right person, this position could grow into a much broader technology, business systems, and operations role , including: Managing Google/Meta and other advertising campaigns Building websites and landing pages Managing social media and digital marketing Operating and improving our e-commerce store Developing marketing campaigns to generate new business Leveraging our existing patient database for retention and growth Managing technology vendors and integrations, including our outsourced IT support relationship Helping reduce our dependence on outsourced technology support over time Working directly with the CEO/Owner to turn ideas into systems, processes, automations, and new business opportunities Identifying areas where technology and AI can reduce costs, improve efficiency, and make the company easier to manage There is a lot more to the vision, but the CRM/EMR build is the immediate priority. Ultimately, I am looking for someone who can take my ideas and vision, understand what we are trying to accomplish, and build it into a system that makes the company operate the way I know it can. I want someone who will sit down with me, understand how I want the business to operate, figure out the best technology and processes to accomplish it, and then actually build and implement those solutions. Ideally, I would like to find someone who can work in-office and become a key part of building and improving the business. This can start as part-time or potentially become full-time , depending on the candidate's experience, technical knowledge, and ability to take ownership of the work. Compensation $30-$50 per hour, depending on experience and technical ability. This position is intentionally structured around the candidate's actual capabilities and the level of responsibility they are able to take on. We are open to starting the right person on a part-time basis while they learn our business, understand our systems, and demonstrate what they can take ownership of. The initial role may be primarily focused on CRM/EMR development, integrations, automation, AI, and business systems , at an hourly rate appropriate for that level of responsibility. For someone who can take on substantially more responsibility — including independently building and managing our technology infrastructure, CRM/EMR, integrations, AI systems, marketing technology, websites, digital marketing, e-commerce, vendor management, and other business systems — the position can develop into a full-time role with compensation in the $80,000-$110,000+ range , depending on experience, technical knowledge, and overall scope of responsibility. We are not hiring based solely on a résumé or job title. Compensation will reflect what the person is actually capable of building, managing, and taking off the owner's plate. For the right person, this can become a long-term key position within the company with significant responsibility and opportunity for growth.
