Month Contract Job Description:
The Marketing Operations Specialist supports the end-to-end execution of healthcare provider (HCP) direct-to-provider campaigns, with a primary focus on physical mail programs. This role coordinates timelines, vendors, creative proofs, mailing list handoffs, postage decisions, inventory, and post-drop operational follow-through, including returns, re-sends, and inbound voicemail triage. The ideal candidate is detail-oriented, comfortable managing multiple workstreams in parallel, and experienced working with print and fulfillment partners.
Essential Duties and Responsibilities:
Manage the operational workflow for HCP direct mail campaigns from intake through drop and post-drop follow-through, including timelines, milestones, and stakeholder updates. Coordinate with print and fulfillment partners on production schedules, proof cycles, printing and processing, postage, and drop dates to support on-time delivery. Review creative artwork and production proofs for alignment with approved files and production specifications. Maintain clear version control and campaign documentation. Manage mailing list handoffs end to end, including receiving lists from analytics partners, performing basic quality assurance, and ensuring accurate and timely delivery to fulfillment partners. Track inventory and post-drop operations, including reprint planning, returns processing, resend requests, and voicemail triage. Use Asana or similar project management tools to manage timelines, tasks, and dependencies. Use Excel to quality-check and process mailing lists, including row counts, filtering, sorting, basic validation, and simple summaries. Update operational trackers and collaborate on status reporting using Smartsheet.
Qualifications:
2+ years of experience in marketing operations, production coordination, or project coordination in an agency or in-house environment. Hands-on experience managing print and physical mail workflows with external vendors, including proofs, production timelines, and fulfillment handoffs. High attention to detail and strong execution habits, including proofreading, version control, and deadline management across multiple workstreams. Strong communication skills and comfort coordinating with internal stakeholders and external partners. Intermediate Excel skills. Experience with Asana preferred. Experience with Smartsheet preferred. Experience in biotech, pharmaceuticals, or other regulated marketing environments preferred.
