Description Proposal Specialist / Marketing Specialist / AEC GAI Consultants -- Indiana, Kentucky, Ohio, or West Virginia -- Hybrid Run the pursuits that win DOT, county and municipality work. GAI is hiring an experienced AEC proposal professional to lead transportation and infrastructure pursuits from kickoff through shortlist interview. Hybrid schedule, based out of our Indiana, Kentucky, Ohio or West Virginia offices. Every transportation project we deliver started as a proposal someone had to win. That's this role. You'll drive pursuits end to end strategy, schedule, narrative, compliance, and the deliverable that puts GAI in front of state DOTs, counties, and municipalities across the region. You'll work shoulder to shoulder with the engineers and business leaders chasing the work, turn technical depth into a persuasive story, and own the process that keeps a complex pursuit on track. This is for someone who has run proposals and wants more control over how they're won. You'll weigh in on go/no-go calls, push back on weak content, and build reusable material that makes the next pursuit faster than the last. GAI has been solving infrastructure challenges since 1958. Our Transportation & Infrastructure practice is growing and pursuit capacity is what growth runs on. What You'll Own Full pursuit lifecycle; kickoff through submission and shortlist interview.

Lead mid-sized pursuits independently; support major and multi-firm efforts alongside senior marketing staff.

RFP compliance; build the matrix, own it, confirm every requirement is answered before anything leaves the building.

Writing and editing; approach narratives, executive summaries, project descriptions, and staff resumes.

Shortlist interviews; presentation development, materials, rehearsal coordination, and logistics.

Deltek Vantagepoint; keep project, client, and pursuit data accurate, and improve how it gets captured and reused.

Marketing collateral; service briefs, project profiles, award submissions, and speaking proposals.

Process improvement; content libraries, templates, and boilerplate that raise quality and cut turnaround time. What You Bring Required 5+ years in proposal coordination, proposal management, or AEC marketing

Proven track record managing proposals to hard deadlines with multiple contributors

Strong writing, editing, and proofreading skills

Adobe InDesign and Creative Suite

Microsoft Word, Excel, PowerPoint, Outlook

Associate or bachelor's degree in marketing, communications, business, or related field.

Valid driver's license and reliable transportation for local travel Preferred AEC industry experience; engineering, architecture, construction, or infrastructure consulting

Public-sector pursuits; DOT, county, or municipal clients

Deltek Vantagepoint or comparable CRM

Experience coaching technical staff through shortlist presentations Proposal writing and layout samples strongly encouraged; include a portfolio link on your resume or attach PDF samples. Your First Year 90 Days 6 Months 12 Months You know the pursuit calendar, the key technical staff, and how Vantagepoint is set up here and are starting to lead pursuits. You're running mid-sized pursuits independently. Senior staff have stopped double-checking your compliance work. You've measurably improved something - a template, a content library, turnaround time, or win rate in a specific market. Location, Travel, and Hours Hybrid schedule based out of our Indiana, Kentucky, Ohio or West Virginia offices. Occasional regional travel for conferences, client events, and meeting typically several times a year. Proposal work runs on client deadlines. Most weeks are standard business hours; submission weeks occasionally run long. We plan ahead to keep that the exception, not the norm.
