Product Operations Specialist Knowmadics Inc Round Rock, TX Job Details Full-time 8 hours ago Qualifications Knowledge management Content creation for technical audiences Automation software Bachelor's degree Confluence Digital project management boards Agile Project stakeholder communication Cross-functional communication Full Job Description Job Purpose/Summary The Product Operations Specialist builds and owns the operational infrastructure that allows Knowmadics' R D product organization to scale and operate with leverage, working at the portfolio level rather than on any single product line. This role partners directly with the Director of Product Development, the Chief Product and Technology Officer (CPTO), and Product Managers and Tech Leads across the organization, with the trust and autonomy to design the systems, processes, and content the R D product organization runs on. This is distinct from a Project Manager role: the Product Operations Specialist does not own schedule, budget, or contract logistics for any individual program, but instead owns the shared infrastructure and operating cadence that lets every product team and leader move faster and with greater clarity. This role owns the R D product org's Confluence knowledge base and Jira project framework design, including space structure, templates, automations, and workflow configuration, ensuring consistency and usability across product teams. This role also shapes how the product organization communicates, both internally and externally, by developing cross-portfolio presentation materials, establishing the structure for recurring leadership reviews such as monthly product reviews and quarterly roadmap reviews, and producing the reporting that keeps leadership current on portfolio-wide progress. The ideal candidate is a highly organized self-starter who can work effectively with stakeholders ranging from C-suite executives to technical individual contributors, and who is comfortable questioning existing processes and proposing better ones. Duties and Responsibilities Knowledge Management & Tooling Build and maintain the knowledge infrastructure that keeps institutional knowledge across the product organization organized, current, and easy to find, including Confluence space architecture, page templates, and documentation standards. Design the Jira frameworks that product teams operate within, including project structures, workflows, and automations, raising consistency and efficiency across teams without owning day-to-day ticket management. Continuously identify and close gaps in operational tooling and process, driving automation and efficiency improvements in partnership with the teams they affect. Establish and socialize best practices for tool usage across the product organization, helping teams adopt shared standards with minimal friction. Cross-Portfolio Content & Communications Support the cross-portfolio narrative, building presentation materials and content that represent the product portfolio clearly and consistently to internal and external audiences. Define and maintain the structure behind Knowmadics' recurring product cadences, including monthly product reviews and quarterly roadmap reviews, ensuring these forums run efficiently and deliver value to leadership. Translate input from Product Managers and Tech Leads into synthesized, portfolio-level reporting that gives leadership a clear, regular view of progress. Partner with the Director of Product Development and CPTO to prepare materials for leadership briefings, board updates, and other cross-functional presentations. Cross-Functional Partnership & Process Improvement Partner closely with the Director of Product Development,CPTO, and Product/Tech Leads across the R D portfolio to understand operational needs and translate them into scalable processes and tools. Collaborate with Finance, Sales, and Marketing stakeholders as needed to support cross-functional reporting, content requests, and portfolio-level coordination. Proactively identify gaps, inefficiencies, or inconsistencies in existing product operations practices, and propose and drive process improvements that benefit the broader organization. Maintain a strong working understanding of the product portfolio's technical and programmatic context sufficient to produce accurate, relevant content and identify where additional support is needed. Qualifications Eligible to obtain a U.S. Security Clearance - U.S. Citizenship required. Bachelor's degree in a technical, business, or related field required. 2—4 years of experience in product operations, program operations, technical program coordination, product management, or a related role supporting product or engineering organizations. Demonstrated experience administering Confluence and Jira at an organizational or portfolio level, including space/project structure design, templates, and workflow automation. Working understanding of product development and management practices, agile/hybrid methodologies, and R D technology development lifecycles sufficient to support multiple product teams effectively. Exceptional organizational skills and attention to detail, with demonstrated ability to manage multiple concurrent workstreams across different stakeholders and cadences. Excellent written and verbal communication skills, with the ability to produce polished, audience-appropriate content for both executive and technical audiences. Demonstrated experience operating effectively with senior executives (C-suite or equivalent) as well as technical individual contributors. Self-directed and comfortable operating with significant autonomy—identifying problems, proposing solutions, and challenging existing processes when doing so benefits the broader organization, without being explicitly directed to do so. Preferred Experience Experience operating in a defense, intelligence, or other mission-critical R D environment. Experience building or maintaining cross-functional reporting structures or portfolio-level dashboards. Familiarity with government contract structures (e.g., SOW, CDRLs, CLINs) sufficient to understand the operational context of R D contract execution. Experience supporting or partnering with marketing or sales teams on shared content or messaging. Experience in a startup, scale-up, or other fast-paced organization where formal processes were still maturing. Working conditions Employees may be called upon to participate in in-person meetings, trainings, or company functions at Knowmadics offices or other designated locations. Travel in support of business operations may also be required, and employees are expected to comply with these obligations as part of their position. Candidate should live within driving distance of the following areas: Wichita, KS; Lawton OK; or Round Rock, TX Estimated travel: 5% for customer meetings, industry events, and for in-person collaboration. Some weekend or off-hours work may be required based on project deadlines, travel, and event support. Standard business hours with flexibility to support distributed teams and customers across U.S. time zones. Physical requirements May include sitting or standing for extended periods, working with computers and technical equipment, and occasionally lifting or moving materials or tools. Direct reports N/A
