Job Description

The Digital Media and Operations Coordinator is responsible for managing the organization's digital presence while assisting with day-to-day operational functions. This role combines creativity and organization—managing social media, some digital communications, and website content while also coordinating administrative, logistical, and operational tasks that help the organization run efficiently. The ideal candidate is highly organized, detail-oriented, creative, and comfortable balancing multiple projects at once.
Responsibilities:
Content Creation & Management
  • Create and schedule social media posts across platforms (Facebook, Instagram and X)
  • Write and edit digital content (captions, news, and website updates)
  • Research material from partner agencies and other relevant sources to create content for social media.
  • Design simple graphics and/or format existing marketing for social media and webpages
  • Capture and edit photos/videos from events and other opportunities that promote the United Way. Social Media Management
  • Manage social media accounts and messaging
  • Respond to comments and messages
  • Interact with local accounts, partner agencies, donors, and businesses to increase engagement and grow our following.
  • Track engagement and performance analytics (Hootsuite)
  • Develop social media calendars and campaigns (Hootsuite) Website Management
  • Update website content, events, and announcements
  • Maintain website pages and ensure information is current
  • Upload photos, videos, and documents
  • Coordinate with web developers if technical issues arise Volunteer Recruitment and Engagement
  • Recruit recommended number of volunteers for each event/project per Director of Marketing
  • Track and maintain volunteer contact information, volunteer time and waivers
  • Update and distribute volunteer waivers as needed
  • Give volunteers clear instruction and keep them engaged at events
  • Volunteer appreciation, send out "thank you" email to volunteers after each event. Mailings and Workplace Campaigns
  • Compiles workplace campaign packets and prepares and delivers packages for employers as needed.
  • Coordinates mailings including stuffing envelopes, sourcing, communicating and overseeing volunteer assistance, etc. Event Support
  • Promote events digitally (social media and website)
  • Capture photos/videos during events for future marketing
  • Manage online registrations or ticketing
  • Volunteer engagement, instruction and registration Operations Support - Needs Carolyn's input
  • Streamline and maintain shared drives, file organization, and digital systems.
  • Develops and maintains databases to track event attendance, payments, volunteers, donations and sponsor information and preferences.
  • Maintains historical archives
  • Research and assist with editing information for mailing lists. (ex. Update addresses)
  • Tracks details of orders such as quantity, cost, details of print requirements, etc. for materials needed for events, campaigns, etc.
  • Completes daily check log by opening mail, entering checks into a registry log and forwarding them to the Office Manager
  • Acts as primary point of contact for answering phones and greeting visitors. Responds to needs, troubleshooting issues as may arise.
  • Maintains a high degree of confidentiality of all information obtained in performance of duties.
  • Maintains complete, accurate and organized documents and files.
Requirements:
Associate's degree or higher in Marketing, Communications, Public Relations, Journalism, Nonprofit Leadership, Business, or a related field preferred, and/or a minimum of three years of professional experience in public relations, marketing, communications, fundraising, special event planning and implementation, graphic design, data tracking, or general administrative support. (we are flexible on this) Must have strong analytical skills, attention to detail, and ability to manage multiple projects with multiple layers, variables and shared resources. Must have a keen eye for creativity and graphic design. Must possess excellent verbal and written communication skills. Demonstrated proficiency with a variety of computer software applications including MS Office, donor databases, and graphic design software, etc. Must be positive, energetic, creative, innovative and insightful. Strong organizational and time management skills required. Must be team oriented, self motivated, possess good judgment, and have the ability to work independently yet take and follow direction.
