Job Description

Position:
MS/HS Secretary Qualifications:
Formal training or comparable experience as an administrative assistant. Must successfully pass the district's background check.
Experience and Certification:
Demonstrated ability to lead, manage and work in a highly active and dynamic office environment.

Ability to maintain a positive attitude and portray a positive leadership presence. 14. Ability to work directly with middle and high school aged students and parents. 15. Ability to operate office equipment, computers, and effectively communicate with staff, supervisors and the public.

MS/HS Principal Duties and Responsibilities:
1. Receptionist•answer phones, attend to students, teachers, parents, and others who come into the high school office. 2. Every morning•on the intercom, announce the pledge and daily announcements 3. Run student class lists, address/phone/parent reports and all other necessary reports relating to students. 4. Handle necessary forms and documents for required enrollment counts and district census information as required by the Wisconsin Department of Public Instruction. 5. Maintain student attendance records for the high school, daily absentee listings and student/faculty announcements. 6. Work in cooperation with the Athletic Director concerning the following: a. Athletic Schedules b. Letters to parents, schools and officials in regards to athletics. c. Update, type, and make copies of the Athletic Policy as needed. d. Maintain a sufficient supply of physical exam cards and distribute them as needed. e. Help with any special athletic events such as Regionals, Sectionals, plus any necessary typing for them. f. Order flowers for parents nights 7. Maintain school district activity fund records and accounts, including monthly bank reconciliation to be presented at regular monthly board meetings. 8. Issue receipts for school district income via students, activities, and special school district deposits and issue agency checks for approved agency fund transactions. Prepare for an audit in July. 9. Receive all activity account requisitions, check individual account balance, and receive signature of principal before processing. Type all high school purchase orders from requisitions prior to July 1 each year. 10. Work cooperatively with the School Nurse filling out necessary health forms. 11. Distribute mail and keep mailboxes updated. 12. Work with Guidance Counselor on the following: a. Register students 9-12 (present and transfer) b. Assist with spring scheduling and course description booklets for students. c. Run report cards quarterly and help distribute. d. Type Master Schedule. e. Occasional typing such as letters to parents, letter of recommendation, etc. f. Send out transcripts and records as requested. g. Print honor rolls, failure lists, and class rank on a semester basis. h. Relay phone messages and other communications. i. Notify Counselor regarding concern of students, and other important information relating to students. j. Calculate the top 10 seniors for the principal and guidance counselor. 13. Work with Principal on the following: a. General typing and secretarial duties. b. Notify principal of unexcused-excused absences, send truancy form. c. Readmit students who were absent and sign out any pre-excused students (making sure they are listed on the absentee list for teachers). d. Gather and record mid-quarter progress reports and mail to parents. e. Gather and schedule the semester conference requests and mail to parents. f. Assist in maintaining teacher handbook, teacher policy books, scholarship handbooks, school-closing phone tree, and substitute teacher lists. 14. Other duties as assigned by the Administrative Team. 15. Maintain Confidentiality in regard to students and all school matters. 16. Schedule seniors for senior meetings in August. 17. Update telephone tree for middle/high school. 18. Organize graduation•order diplomas in January, help seniors with graduation orders, order flowers from Bloomer Floral, work with senior officers, work with the Colfax Messenger to submit senior photos and programs. 19. Fluent in use of the student data system•Skyward.
Terms of Employment:
Specific terms and conditions of employment are governed by the School District of Colfax Employee Handbook and applicable Wisconsin law.
Evaluation:
Employee performance will be evaluated annually by the MS/HS Principal in accordance with applicable school district policy.
Pay:
$20.00•$24.00 per hour
