Full Time SUMMARY The Office Administrator directs and/or assists with a variety of general office activities and upkeep by personally answering the main phone line, greeting guests, managing mailings, ordering and stocking office supplies, filing, basic accounting and ensuring the smooth operation of the Corporate Office.ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned. Generally is responsible for the overall appearance, administrative functionality, and security of the NASCO Corporate Office between normal business hours of 7:45 - 5:00, Monday - Friday, and as otherwise necessary to support business related events and activities. Greets and directs visitors to appropriate personnel; Answers incoming telephone calls in a prompt, professional and courteous manner by determining the purpose of the call, and forwarding to the appropriate personnel or department. Prepares conference rooms for meetings by personally scheduling, stocking equipment,food, drinks, and filling other requests from management. Manages the mail system by opening, dating and distributing mailings. Also is responsible for the timely delivery of mailings to and from the post office and administration of our company wide FedEx system. Updates and manages company wide phone listing and contact information through software programs such as, Adobe and InDesign. Maintains current company wide FedEx billings using Excel. Updates and prepares Corporate and accounting calendars. Main organizer for Corporate functions including the Christmas party and summer BBQ. Assists the Accounting Department in basic accounting functions. Maintains project filing. Creates and prints fax cover sheets, memos,correspondence, reports, and other documents when necessary. _____________________________________________________________________________________PREFERRED QUALIFICATIONS
EDUCATION and/orEXPERIENCE
Associate's degree (B. A.) in any Accounting related program; or two to five years related experience and/or training; or equivalent combination of education and experience. Basic computer skills required and a working knowledge of standard off the shelf software applications to include Microsoft Word, PowerPoint, Excel, and the internet. Must exhibit great communication skills and experience working within an office environment.LANGUAGE SKILLS
Ability to read and interpret documents such as operating and maintenance instructions,rough draft policies and procedure manuals; ability to write routine reports and correspondence required; and the ability to speak effectively before groups of customers or employees of the organization preferred. Ability to speak, write, and understand the English language is required.REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form; and the ability to deal with problems involving several concrete variables in standardized situations.OTHER QUALIFICATIONS
The individual is required drive in the course of their work; a valid driver's license is required. The individual must meet all background and security requirements necessary to access and/or work on government installations.PHYSICAL DEMANDS
