Job Overview We are seeking a dynamic and organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring smooth office functions, excellent customer service, and efficient administrative processes. Your energy and attention to detail will help keep our office running seamlessly while supporting our team and clients. Responsibilities Manage front desk operations, greeting visitors and directing phone calls with professionalism and courtesy Operate multi-line phone systems, answer inquiries, and provide exceptional customer support Maintain organized filing systems, data entry, and accurate record keeping using tools like Microsoft Office and Google Workspace Handle calendar management, scheduling appointments, and coordinating meetings for staff members Perform clerical tasks such as proofreading documents, managing correspondence, and processing invoices using QuickBooks or bookkeeping software Support office management activities including supply inventory, filing systems, and general administrative duties Provide excellent customer service by addressing client needs promptly and professionally Experience Previous office experience in administrative or clerical roles is required Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Experience with QuickBooks or similar bookkeeping software is highly desirable Bilingual skills are a plus to effectively communicate with diverse clients and team members Excellent organizational skills with the ability to prioritize tasks efficiently Demonstrated phone etiquette and customer service skills in a fast-paced environment Personal assistant or medical/dental receptionist experience is beneficial but not mandatory Join us to be part of a dedicated team that values energy, professionalism, and excellence!
