Calista Brice LLC Regular Pay Range:

Your expertise will directly support our mission of strengthening our subsidiaries while creating opportunities that benefit Alaska Native communities. What can you expect? As the Office Administrator CBU (Civil Business Unit), you will be on-site in Morgan City, LA, and will be responsible for the front desk and general office duties, assisting with invoice coordination, business expense processing, and supporting the administration and management staff in various states while always cultivating and maintaining positive business relationships. How will you do it? Responsible for preparing and processing all expense reports, per diems, reimbursements & personal mileage reports. Assist with the flow of the OnBase invoice system. Assist with maintaining the organization of various files and project documents. Responsible for reconciling vendor statements and expense statements. Assist with tracking contracts, purchase orders, and subcontracts with the administration team. Provide front desk support, greet visitors, answer, and direct incoming calls, as well as take messages. Assist in general office duties, including making copies, scanning documents, and mailing. Assist in ordering and organizing office supplies. Open, sort, distribute incoming mail, and prepare outgoing mail with the correct postage. Work in a constant state of alertness and in a safe manner. Perform other duties as assigned.
Supervisory Functions:
This position does not have supervisory responsibilities. Knowledge, Skills & Abilities Knowledge of basic administrative skills and ability to perform related tasks. Excellent analytical and technical skills. Ability to demonstrate strong project management and organizational skills. Ability to manage time effectively. Excellent oral and written communication skills, and ability to multi-task Ability to work in a team environment. Ability to operate standard business computers utilizing business applications Microsoft Office Suite. Ability to learn new applications. Ability to learn and understand the Company's Standard Operating Procedures (SOPs).
Ability to do basic math:
addition, subtraction, division, multiplication, and finding percentages. Ability to do business ethically with customers, vendors, and co-workers. Ability to work with a high level of accuracy. Ability to exercise resourcefulness in assisting management & co-workers. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to maintain a professional appearance. Ability to safely and efficiently operate a motor vehicle. Ability to work in a Native Corporation multi-business environment. Who is Calista Brice LLC looking for?
Minimum Qualifications:
High School Diploma or equivalent required. Valid state driver's license and be qualified to operate a vehicle under the conditions of the Company's Driving Policy. Ability to pass a drug, driving and background screenings.
Preferred Qualifications:
Previous office administration experience preferred. Administration, construction and marine experience preferred.
Working Environment:
The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Calista Brice has a fast-paced multi-tasking office environment requiring a high degree of efficient and effective performance. At times, work is performed outside of the office at indoor and outdoor job sites.
