We are a small failure analysis company that examines a variety of failed mechanical components and provides material characterization to our customers in the form of written reports. From broken bolts to broken bridges, our team determines what happened and why. The Office Administrator will support our current 8-person team in an office, shop, and laboratory setting. The right candidate for this position will fill a variety of roles and responsibilities including, but not limited to:
  • Management and organization of received samples including: o Data entry, "logging in" of all samples received o Binning/storage of received samples o Management of samples and files related to ongoing and completed/archives jobs according to our organizational structure o As-received photos of samples to document submitted state
  • Creation of customer estimates to support failure analysts
  • Customer invoicing utilizing various submission processes (online portals, email, mail, etc.)
  • Follow up with clients and buyers to obtain or troubleshoot issues with purchase orders, sample returns, etc.
  • Act as company purchaser for ordering of miscellaneous office supplies, shop supplies, and outside vendor services. This role would include the long term goal of building a consumables database.
  • Management of company accounting email including connecting analysis requests with analysts and responding to other inquiries.

  • Follow up/collection of past due invoices
  • Manage accounts receivable-post customer payments and credit customer accounts
  • Manage new vendor and customer set up procedures
  • Credit card processing
  • Primary phone receptionist for all incoming calls
  • Some proof reading and editing of customer reports prior to being sent
  • Occasional local errands and transportation of samples to and from clients or to local labs
  • Greeting of visitors and management of lobby space
  • General management of laboratory cleanliness and organization This position will likely extend beyond the traditional role of Office Administrator due to the nature of our company and the flexibility needed when working in a small business.
We are looking for an individual who possesses a wide range of skills along with the initiative and flexibility we believe is necessary to be successful in our team. In addition, a high degree of demonstrated organization as well as excellent writing, editing, and grammar skills are required. All client communication (emails, quotes, invoices, etc.), must contain minimal grammatical and factual errors. In addition, a successful candidate will be proficient with Microsoft Office, Quickbooks Online, and the Windows environment. A history of managing client/vendor accounts utilizing Quickbooks is preferred. Familiarity with photography, failure analysis, and lab equipment is beneficial but not required. This is a full-time position with competitive salary, medical insurance benefits, company matched 401k plan, paid sick leave, paid vacation and holidays following an initial probationary period, and 1 month paid sabbatical every 7 years. Salary will be commensurate with demonstrated skills and experience.
