  • Full-time Office Administrator & Sales Support Representative BEC Machine Products is a leading manufacturer of precision components for the U.
S. Navy and defense sector. We are seeking a dependable, organized, and customer-oriented Office Administrator to support daily office operations and serve as a key point of contact for customer communications and order coordination. This is a dual-function role well-suited for someone who takes pride in keeping things running smoothly, both behind the scenes and in front of customers.
Work Arrangement:
This is a full-time (40 Hours), on-site position based at our Harleysville, PA facility. Position Summary The Office Administrator & Sales Support Representative handles the administrative backbone of BEC's daily operations while also supporting the sales team with quoting, order entry, and customer communications. This role sits at the intersection of the front office and the production floor — requiring someone who is equally comfortable managing paperwork and talking to customers. Key Responsibilities Office Administration Handle filing, scanning, and general office organization to maintain accurate and accessible records Prepare and update job folders, shipping paperwork, and internal forms Manage incoming and outgoing mail, deliveries, and shipments Maintain office supply inventory and coordinate reordering as needed Support management, production, and purchasing teams with administrative tasks Assist with scheduling, calendars, and basic HR paperwork Perform other office and operational duties as needed to support a smooth-running facility Sales Support Assist in preparing and submitting customer quotes in coordination with the sales and estimating teams Serve as a point of contact for customer inquiries related to order status, lead times, and delivery schedules Enter, track, and maintain order data within ERP systems and internal tools Collaborate with production and purchasing to ensure order accuracy and on-time fulfillment Maintain organized records of customer interactions, order history, and related documentation What Success Looks Like In the first 90 days, a successful candidate will have learned BEC's ERP system and core administrative workflows, established reliable working relationships with the production and purchasing teams, and is handling day-to-day office functions and order entry with confidence and minimal oversight. At six months, they are a dependable presence in the front office — managing customer inquiries professionally, keeping records accurate and current, and ensuring administrative tasks don't fall through the cracks. At one year, they are a trusted operational resource for the team — proactively managing their workload, supporting continuous improvement in office processes, and helping BEC deliver consistently on commitments to its defense customers. Qualifications High school diploma or equivalent required; associate's degree a plus 1-2 years of office, administrative, or sales support experience preferred Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Experience with ERP systems a plus; training will be provided Strong organizational skills and attention to detail Professional, friendly, and clear communicator — both written and verbal Able to manage multiple tasks accurately in a fast-moving environment Customer-service mindset with a collaborative, team-oriented approach
