Job Description
Overview We are seeking a dependable and organized Office Assistant to join our growing pool company! This energetic role is perfect for someone who thrives in a fast-paced environment, enjoys multitasking, and is passionate about providing exceptional administrative support and customer service. As the Office Assistant, you will be responsible for supporting daily office operations, assisting customers, scheduling appointments, and helping ensure smooth communication between office staff, field technicians, and sub-contractors. Responsibilities Manage multi-line phone systems, and respond to customer inquiries efficiently Schedule pool maintenance, repairs, and service calls Maintain organized office files and documents Assist with office management duties such as, invoicing, billing and payment processing, office upkeep Provide excellent customer service support by responding promptly to inquiries via phone or email Support bookkeeping activities using QuickBooks or similar accounting software when needed Requirements Proven office experience with strong clerical skills and familiarity with office administration Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently Experience with multi-line phone systems, phone etiquette, and customer support roles Knowledge of QuickBooks, data entry, filing systems, proofreading, and calendar management is preferred Previous office experience is preferred Demonstrated ability to handle administrative responsibilities with professionalism and attention to detail Join us in creating a vibrant workplace where your organizational talents make a real difference!
