Job Overview We are seeking a dynamic and highly organized Office Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support various administrative functions, help manage communication channels, and enhance overall office productivity. Duties Greet visitors at the front desk with professionalism and warmth, providing excellent customer service and answering multi-line phone systems with confidence. Manage incoming calls, directing inquiries accurately using phone etiquette and maintaining a friendly demeanor. Perform data entry tasks using Microsoft Office, Google Workspace, and QuickBooks to update records, invoices, and financial documents. Organize files, maintain filing systems, and ensure all documents are properly stored and easily accessible. Assist with calendar management, scheduling appointments, meetings, and coordinating personal. Support office management tasks such as ordering supplies, maintaining inventory, and overseeing general clerical duties including proofreading and filing. Provide administrative support including typing correspondence, proofreading documents for accuracy, and supporting bookkeeping activities like invoicing and expense tracking. Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and QuickBooks. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Effective time management skills to prioritize tasks and meet deadlines consistently. Bilingual abilities are highly desirable to assist diverse clients and team members effectively. Previous office experience or clerical experience is preferred to ensure smooth onboarding and immediate contribution. Exceptional customer service skills combined with professional phone etiquette for handling inquiries via multi-line phone systems. Attention to detail for proofreading documents, data entry accuracy, and maintaining organized filing systems.
