Job Description

We are looking for a dependable and detail-oriented Office Assistant to support the daily administrative operations of our company. This is a hands-on role where you will handle a variety of tasks — from answering phones and managing correspondence to processing invoices and maintaining records in QuickBooks Desktop. If you are organized, take pride in accurate work, and enjoy keeping an office running smoothly, we want to hear from you. What You Will Do Process accounts receivable and accounts payable transactions accurately and on time Enter and reconcile data in QuickBooks Desktop Manage incoming and outgoing correspondence including email via Microsoft Outlook Prepare and format documents, letters, and reports using Microsoft Word Maintain and update spreadsheets and logs using Microsoft Excel Organize and maintain physical and digital filing systems Sort and distribute mail, faxes, and other communications Create and update records ensuring accuracy and completeness Schedule meetings and appointments and manage calendars Monitor office supply levels and coordinate reorders as needed Greet visitors and perform receptionist duties as needed Coordinate with internal departments to support company policies and procedures Assist with general office organization and day-to-day operational support Knowledge of "back-office" computer systems (ERP software) What We Are Looking For Prior experience in an office assistant, administrative assistant, or back-office support role Hands-on experience with QuickBooks Desktop for A/R, A/P, and general bookkeeping tasks Proficiency in Microsoft Office — Outlook, Word, Excel, and PowerPoint — used daily Comfortable working with office equipment including printers, copiers, and multi-line phone systems Strong organizational skills and the ability to manage multiple priorities without missing details Excellent written and verbal communication skills Ability to handle sensitive information with discretion and professionalism A proactive, problem-solving mindset — you notice what needs to be done and do it 3 or more years of bookkeeping, office management or customer service experience preferred Education High school diploma or equivalent required Additional coursework or certification in bookkeeping, accounting, or office administration is a plus Knowledge of ERP software systems is a plus Benefits Flexible schedule Paid time off Retirement plan Schedule and Location Flexible Part-time , 4-5-hour shifts, Open to flexibility at 25-30 hours a week (
