Performs varied tasks such as maintaining and processing employee or student records and information and reception and clerical support for the office or department. Work includes producing reports and documents from rough draft or verbal instruction; transcribing and distributing meeting minutes; and coordinating appointments, meetings and travel arrangements. Limited leadership may be exercised over small teams of co-workers or student employees.
General supervision and oversight is provided to employees in this classification.

This is an advanced classification that performs complex clerical and reception work involving common office practices and procedures and requiring knowledge of standardized policies and procedures and confidentiality in the disposition of work matters.Work requires some independent judgment, problem solving, and minor decision making skills based on established policies and guidelines.
Performs varied tasks such as maintaining and processing employee or student records and information and reception and clerical support for the office or department. Work includes producing reports and documents from rough draft or verbal instruction; transcribing and distributing meeting minutes; and coordinating appointments, meetings and travel arrangements. Limited leadership may be exercised over small teams of co-workers or student employees.
General supervision and oversight is provided to employees in this classification.
Examples of Work Performed:
Serve as the main and first point of contact for prospective students and their families Responsible for receiving visitors by greeting them in person or on the telephone; answering or referring inquiries, including electronic responses Work closely with the Coordinator of Admission Services (Campus Visits) to establish schedules and visit appointments for prospective students (individual, groups, etc.) Document and communicate actions, irregularities, and continuing needs to maintain the best customer service possible Contribute to team effort when required Operate telephone; answer and transfer calls when appropriate Take messages and communicate them to appropriate enquirers Handle outgoing mail; sort and distribute incoming mail Responsible for the main admissions email inbox; including timely responses or the necessary forwarding of messages to the appropriate staff member Responsible for basic data entry as assigned Maintain, order, and stock basic office supplies Responsible for operating and maintaining office machines, including printers, copiers, etc. Ensure compliance with College rules and regulations in the reception area Other duties as assignedRequired Qualifications:
Graduation from High School or educational equivalent and related experience.Preferred Qualifications:
Ability to provide customer support in a prompt, friendly, and timely manner. Additionally, follow-up on a situation through to resolution Ability to maintain composure in a high pressure and fast-paced environment Ability to work both independently as well as in a team Ability to actively listen to customers to determine real needs Possess great oral communication skills to effectively communicate prospects interest, needs, and requests to Admissions leadership Highly enthusiastic, respectful, and friendly; with a professional and welcoming presentation, and most importantly, possess a positive attitude at all times Solid phone handling etiquette to respectfully engage with guests and customers; and to promptly and efficiently handle a multi-line telephone system Strong interpersonal skills to relate easily with people of various backgrounds and personalities; help establish relationships and build rapport with prospective students and their families Well-organized, detail-oriented, and multi-tasking, with the ability to effectively prioritize assignments.
