This is an in-person position ideal for someone who enjoys balancing multiple responsibilities, solving problems, and supporting both clients and team members. The ideal candidate is adaptable, detail-oriented, and comfortable managing a wide range of responsibilities in a busy environment. This role is best suited for someone who enjoys staying focused, productive, and engaged throughout the day while working independently and as part of a team. This is not a "slow office" environment — our days move quickly, priorities shift, and communication matters. Reliability, consistency, professionalism, and follow-through are essential to success in this role . Key Responsibilities Manage office and operational inventory Serve as the company CRM liaison and assist staff with CRM-related support Answer incoming phone calls and direct calls appropriately Respond to customer questions and follow up with clients as needed Create proposals and assist with administrative documentation Order office supplies and operational materials Handle incoming and outgoing mail Assist staff with invoices, reports, and administrative support tasks Coordinate employee recognition efforts including birthdays and work anniversaries Research and complete assigned projects and special initiatives Transcribe CEO voice memos and notes Help manage company insurance records, permits, tags, and related documentation Anticipate organizational needs and proactively provide support and recommendations Maintain compliance with company policies and procedures Perform additional duties as assigned by leadership Qualifications Must-Have Qualifications Excellent verbal and written communication skills Strong customer service and interpersonal skills Proficiency with Microsoft Office, Google Workspace, Slack, CRM software, and social media platforms Strong multitasking, organizational, and problem-solving abilities Ability to prioritize tasks and meet deadlines in a fast-paced environment Strong attention to detail and follow-through Ability to quickly adapt as priorities change Ability to work independently with minimal supervision Typing speed of at least 30 WPM High school diploma or GED required Minimum of 5 years of office management experience Reliable daily attendance and punctuality are essential Self-motivated with a strong sense of ownership and accountability Preferred Qualifications Exceptional organizational and administrative skills Social media management experience Associate degree in Business, Office Management, Accounting, or related field preferred Physical Requirements Ability to sit for extended periods of time Ability to stand and move throughout the office as needed Ability to move items between inventory and mailing areas Ability to lift and carry up to 20 pounds Ability to clearly communicate in person and over the phone
