Job Description

Position Summary:
Responsible for the supervision of department reception and medical assistant teams. Create and maintain a smooth workflow process in assigned office location(s). Ensure that the office runs efficiently at all times and patient needs are met in a timely and customer service friendly environment. The Office Manager must be able to work without direct day to day supervision, exercising independent judgment. The Office Manager must be present on-site during clinic hours. The Office Manager must be able to analyze problems and draw upon experience and background knowledge to see that solutions are reached, and assignments completed. The Office Manager is responsible for all phases of work, from determining priority to completion and monitoring for the accuracy and quality of work performed by department staff. The Office Manager oversees the physicians schedule and ensures reception and MAs are adequately communicating and coordinating tasks, physician messages, and patient needs on a daily basis. Office manager will work directly with administrator.
Essential Job Functions:
Interacts daily with physicians to ensure proper flow of communication. Addressing patient complaints and resolving issues. Training of staff and or adjustments in processes if needed. Manage and coordinate time off. Oversees both reception and back-office staff. Assigns duties and examines work for exactness, neatness, and conformance to Revere Health policies and procedures. Make changes in process where necessary to ensure conformance to Clinic policies. Identify and resolve problems in a timely and effective manner. Maintain harmony among workers and resolve grievances or disputes. Manage difficult, financial or emotional patient situations. Respond promptly to patient needs. Ensure good quality patient relationships. Attend meetings as required. Maintain physician's schedules in scheduling software. Manage physician schedule medical assistant/reception duties and communication/harmony/efficiency between front and back end- and with providers. Develop office processes and procedures. Assist administrator with staff education and training. Review reports from billing to ensure proper information is maintained on patient demographics, insurance, and charge codes. Maintain department focus on customer service. Oversee Value Based Care efforts- ensure department goals are being met. Interview and select new hires coordinating with physicians and administrator. Perform performance reviews with supervisors and oversee and review the performance review process for assigned areas. May assist with budgets and monitoring financial performance for the practice.
Qualifications:
Two or more years in medical office or office management. Must have excellent interpersonal and communication skills. Ability to work alone with minimal supervision and as a team player working with physicians, administrator, and patients. Ability to generate reports for analysis and implement actions to resolve problems or improve office workflow.
Hours:
28 hours a week. Monday 8am-5pm Tuesday 8am -12pm Wednesday 8am - 5pm Alternating Thursdays and Fridays 8am-5pm
Additional Notes:
Must be flexible with schedule for additional hours and meetings as needed. This position will potentially become a full-time position.
