Job Description

Job Overview Central Montana Foundation is seeking a detail-oriented Office Manager/Bookkeeper to join our team and help maintain the integrity of our financial records. This vital role combines administrative leadership with financial management, ensuring the smooth operation of our office environment while maintaining accurate financial records. The ideal candidate will be energetic, detail-oriented, and proactive, ready to handle a variety of responsibilities that keep our office running efficiently.
Key Responsibilities:
  • Perform monthly reconciliations of bank and brokerage accounts to ensure accuracy.
Deposit Management:
  • Record deposits in accounting software and ensure timely deposits to the bank.
Voucher Preparation:
  • Prepare vouchers in the accounting software and oversee the printing and mailing of checks.
Funds Management:
  • Record and process requests for funds, transferring money between bank and brokerage accounts as necessary.
  • Issue grant checks in accordance with approved requests.
Fee Calculation:
  • Calculate and record administration fees on a monthly and quarterly basis.
Investment Tracking:
  • Record investment earnings, stock donations, stock sales, and revenue share calculations.
  • Maintain accurate records for donated stocks and all investment activities.
Fund Management:
  • Ensure accurate tracking of fund and sub-fund balances.
Software Maintenance:
  • Stay current on accounting software updates and participate in necessary training sessions.
Scholarship Software:
  • Participate in training and implementation of scholarship software, July-November 2026.
General Office Duties:
  • The Office Manager/Bookkeeper will assist with other duties as needed, including answering phone calls, filing, updating databases, planning, and implementing board meetings.
Qualifications:
  • Associate's or bachelor's degree in accounting, business, finance, or a related field preferred, but equivalent work experience will also be considered.
  • Proficiency in accounting software (e.g. QuickBooks, Sage) and Microsoft Office Suite, and the ability and desire to learn new software.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Ability to maintain confidentiality and manage sensitive information.
Preferred Skills:
  • Knowledge of non-profit accounting and fund accounting practices.
  • Familiarity with banking and investment principles, and fair market value reporting.
