Job Description
Allied Water Services is hiring an experienced Office Operations Coordinator to manage the day-to-day administrative functions of a fast-paced service company. This role is critical to keeping jobs moving, crews supported, and customers taken care of. We are not looking for a basic receptionist. We need someone who understands how a service-based business operates and can confidently manage scheduling, permits, customer communication, and office coordination without constant direction. This is a growing role. Responsibilities will expand as the company continues to grow, and the right candidate will be someone who can adapt, take ownership, and keep the office running efficiently. Key Responsibilities Answer and manage incoming customer calls professionally and efficiently Schedule service calls Dispatch and manage jobs using ServiceTitan Pull permits and coordinate with municipalities Handle contractor registrations and maintain compliance documents Maintain job files, documentation, and customer records Communicate with customers regarding scheduling, updates, and job status Support field crews with administrative needs Coordinate with vendors and suppliers Assist with invoicing, job tracking, and administrative reporting Maintain organization and workflow within the office Take ownership of office operations and problem-solving Perform additional administrative and operational tasks as assigned Required Experience Minimum 2-3 years experience in a service-based industry office (septic, plumbing, HVAC, construction, utilities, or similar) Experience using ServiceTitan or similar dispatch/service software Experience handling customer calls in a fast-paced environment Experience pulling permits and working with municipalities Strong organizational and communication skills Ability to manage multiple priorities without supervision Preferred Experience Construction, septic, plumbing, or utility industry experience Dispatching or scheduling field service crews Knowledge of contractor registrations and compliance requirements Familiarity with permitting processes What This Role Is A leadership-level administrative position A problem-solving role A position with growth and increasing responsibility A key part of company operations What This Role Is Not A basic receptionist job A slow-paced office role An entry-level position
Pay:
$18.00 - $20.00 per hourBenefits:
