Startup Operations & Systems Builder

Posted September 14, 2026 Startup Operations & Systems Builder Experitas Inc. Portland, OR, USA Hybrid Full Time Support The role Own operations and build the scaffolding a scaling business runs on. Broad by design — mostly organizing what exists and building what doesn't yet. Scope will flex; "not my job" won't fly. It's a real 40-hour week, not a hidden 70 — very manageable for the right operator, with room to grow. Individual contributor. You'll own The master case tracker — every case current from intake to delivery. Case flow between attorneys, experts, and the review team.
Core SOPs:
firm onboarding, expert onboarding, case intake. Own them, improve them. Contractor and vendor management Our stack: Google Workspace, Monday.com (tasks + sales), Warp (payroll), Haven/Quickbooks. Marketing/Sales is moving to HubSpot and you could help stand it up. You'll support (not own) Sales ops: review and sharpen how we run it.
Finance:
run invoicing and payments; support bookkeeping and payroll.
Compliance:
we handle PHI under HIPAA. Track BAAs, W-9s, and HIPAA paperwork. Comfort with sensitive data is essential. You're a fit if you Own problems end-to-end and improve what exists. Are relentlessly organized and self-directed. Wear multiple hats without needing the hat defined first. Are fluent with spreadsheets, CRM, project/case tracking, and payroll tools. Communicate short and straight. Logistics Full-time, 40 hrs/week, W-2. Flexible within 8am-6pm Pacific . Preferably in (or relocating to) Portland, OR or Vancouver, WA . $50-70k base + bonus by experience and equity appetite, plus early-employee equity. Reports to the CEO. We give plaintiff malpractice attorneys blinded, board-certified expert reviews in under three business days for under $1,000, combining our own AI tooling with a network of 250+ US physicians. The US legal system is choked with malpractice suits, and healthcare costs balloon under the insurance against them.
We speed it up:
deciding fast what is and isn't acceptable medical practice, so lawyers file fewer weak cases, settle strong ones faster, and hospitals eventually make fewer mistakes.
