Job Description

The Permitting & Sales Contract Coordinator is responsible for ensuring accurate, timely, and compliant processing of sales contracts and building permits. This role serves as a key liaison between sales, operations, municipalities, and internal support teams, maintaining high standards of documentation quality, regulatory compliance, and workflow efficiency. Primary Responsibilities Review, validate, and process all new home sales contracts, addendums, and supporting documentation to ensure accuracy and adherence to company policies. Plan and coordinate new home starts with sales, purchasing, and accounting. Prepare, submit, and track building permits, utility applications, and related municipal approvals required for construction starts. Coordinate with city and county agencies, inspectors, and internal stakeholders to resolve permit‑related issues and maintain clear communication on status updates. Maintain organized, audit‑ready digital records for all contracts, permits, and compliance documentation. Provide timely updates to sales, construction, design, and purchasing teams regarding contract and permit milestones. Schedule home closings with buyers and closing agents. Manage communication and documentation for homeowner associations. Support operational needs including processing utility bills, preparing weekly progress reports, monitoring property taxes, and performing general office administration. Qualifications Experience in homebuilding, permitting, or contract coordination preferred. Strong attention to detail with the ability to manage high‑visibility, time‑sensitive tasks. Excellent communication and interpersonal skills with the ability to collaborate across departments. Proficiency in Microsoft Office and familiarity with construction management software. Strong organizational skills, accountability, integrity, and accuracy.
