Job Description

Position Overview:
We are seeking a highly organized, detail-oriented, and proactive Personal Assistant / Executive Administrative Assistant to support the Company President with both personal and business-related responsibilities. This role requires someone who can manage multiple priorities, conduct research, follow through on tasks from start to finish, and ensure that nothing falls through the cracks. The ideal candidate is dependable, professional, discreet, and able to handle a wide range of responsibilities including bill payment management, permitting correspondence, calendar coordination, appointment setting, project tracking, report building, research, and administrative support. Key Responsibilities Manage personal and business bill payments, ensuring all payments are tracked, scheduled, and completed on time. Maintain organized records of expenses, invoices, receipts, account information, and payment confirmations. Conduct research as needed for business projects, personal projects, vendors, permits, construction-related matters, pricing, services, appointments, purchases, and other assigned topics. Coordinate correspondence with county offices, permitting departments, contractors, vendors, and other third parties regarding permitting, construction projects, inspections, and related matters. Assist with personal construction projects by tracking deadlines, communicating with vendors or contractors, scheduling appointments, and following up on outstanding items. Manage the Company President's calendar, appointments, meetings, reminders, and daily priorities. Schedule personal and business appointments, calls, meetings, inspections, and follow-ups. Prepare reports, summaries, task lists, and updates as needed. Track open projects and ensure all tasks are followed through from beginning to end. Prioritize and organize daily, weekly, and monthly tasks to keep the Company President focused and on schedule. Handle professional correspondence via email, phone, text, or written communication. Communicate with internal team members, vendors, contractors, government offices, and external contacts on behalf of the Company President. Create and maintain systems for task management, document organization, deadlines, and follow-up. Anticipate needs, identify potential issues, and take initiative to resolve problems before they escalate. Perform other administrative, personal, and business-related tasks as assigned or requested. Maintain confidentiality regarding personal, financial, and business matters. Qualifications Previous experience as a Personal Assistant, Executive Assistant, Administrative Assistant, Office Manager, or similar role preferred. Strong organizational and time management skills. Excellent written and verbal communication skills. Ability to manage both personal and business-related tasks with professionalism and discretion. Strong attention to detail and follow-through. Comfortable handling financial tasks such as bill tracking, payment reminders, invoices, and expense records. Strong research skills and ability to gather, organize, and summarize information clearly. Experience communicating with county offices, permitting departments, contractors, or vendors is a plus. Ability to manage multiple projects and deadlines at once. Proficient with email, calendars, spreadsheets, document management, and task management tools. Ability to work independently, take initiative, and keep leadership informed without needing constant direction. They should be comfortable managing high-priority tasks, conducting research, following up consistently, and ensuring projects and responsibilities are completed seamlessly from beginning to end.
Pay:
$23.90 - $28.79 per hour
