Job Description

GENERAL DUTIES AND RESPONSIBILITIES
The Practice Manager is a professional administrator responsible for the daily operation of one medical center. This involves the supervision of the front office and interpreter staff, assistance in ensuring facility safety and security and the coordination of patient and staff schedules to maximize resources and to provide for adequate levels of support staff at all times. All efforts of the position are targeted toward the efficient, effective delivery of patient services. The Practice Manger I is responsible for evaluating and reporting both departmental performance and effectiveness.
SPECIFIC DUTIES AND RESPONSIBILITIES
Assist RHCC in maintaining a daily productivity goal as designated by the President/CEO. Ensure quality patient care per JCAHO, Bureau of Primary Health Care, and RHCC standards. Perform other necessary duties as required by the Robeson Health Care Corporation to meet the goal of providing primary health care services. Assist with the implementation of the Bureau of Primary Health Care's Clinical Measures program. Conduct monthly audits at the center regarding compliance and performance. Supervise and evaluate all Front Office staff. Coordinate and participate in employee training and development to include functional cross training of duties and responsibilities. Create and manage patient schedules ensuring efficient patient flow for all medical providers. Approve leave time and arrange appropriate site coverage for all front office staff. Review all time records for accuracy, manage overtime, approve PTO requests, and approve reimbursement for travel Assist with interview of potential candidates for approved Front Office positions with the assistance of HR Department. With the assistance of HR department, implement disciplinary process and properly document all actions, such as verbal/written warnings, counseling, probation, and leave without pay. Monitor performance measures, participate in planning, and lead site team to implement actions for continuous improvement. Provide ongoing training to maintain quality and prevent errors Maintain inventory control and orders supplies for front desk and place order for clinical supplies requested by the lead nurse. Once authorized will initiate the emergency/inclement weather protocol for the site. Promote and ensure staff treats patients with kindness, dignity, and respect. Assist in resolving patient complaints and concerns. Act as a liaison for patient concerns to the organization administration.

When complaint resolution is not achieved at the site level, refer complaint to supervisor for address. Coordinate schedules for repairs and building maintenance with the Director of Facility Services. Ensure compliance of all RHCC policies and procedures and internal control procedures. Inform the supervisor and prepare appropriate documentation when any violation occurs and send to CCO. Meet with support staff to facilitate problem solving and team development. Will identify areas for improvement, initiate and participate in corrective actions plans. Will meet monthly with supervisor to facilitate resolution of issues and concerns. Responsible for the overall maintenance and cleanliness of the front office area. Responsible for the accurate reconciliation and accounting of Petty Cash, Postage, Cash Drawer, and daily Bank Deposits. Maintain the confidentiality of the corporation and that of the patient/clients that it serves. Meet and orient all new patients and maintain a new patient log. Schedule and conduct monthly clinical/staff meetings and keep record of it. Run, conduct and record daily team huddles. Send all medical records request to medical records copy company. Report monthly to the DPO- no show status, new patient orientation log and next available appointment.
SAFETY OFFICER DUTIES AND RESPONSIBILITIES
: Survey the facility for any safety hazards daily. Report safety hazards to the Director of Facility Services. Conduct emergency drills (Fire and Tornado) monthly. Complete facility safety inspection checklist and submit to the Director of Facility Services monthly.
QUALIFICATIONS
A minimum of an Associate Degree with sufficient experience to carry out the duties of position. Must have a valid North Carolina driver 's license.
