Program Coordinator Position Summary:
The International Mail Program Coordinator is responsible for the accurate and efficient handling, sorting, preparation, and distribution of all incoming and outgoing international mail and packages. This role ensures compliance with postal regulations, customs requirements, and organizational policies to facilitate timely and secure delivery across global destinations. Position includes preparing and distributing customer invoices and reports. As well as assisting with customer service inquiries.
Key Responsibilities:
Receive, sort, and process international mail and packages in accordance with postal and customs regulations. Prepare outgoing international shipments, including labeling, documentation, and customs declarations. Verify and reconcile shipment information, tracking numbers, and delivery confirmations. Inspect packages to ensure compliance with export restrictions and organizational shipping policies. Operate mail processing and postage metering equipment; maintain records of postage use and costs. Coordinate with postal services, couriers, and freight vendors to resolve delivery or customs issues. Maintain accurate logs, manifests, and databases of all international mail activity. Support internal departments with international shipping inquiries and guidance on documentation requirements. Monitor supply levels (e.g., packaging materials, customs forms, postage) and reorder as needed. Adhere to all safety, security, and confidentiality standards related to mail handling. Prepare and email customer invoices and reports. Prepare and email reports for the accounting team.
Qualifications:
Education & Experience:
High school diploma or equivalent required; associate degree preferred. Experience in mail processing, shipping/receiving, or logistics—preferably with international operations.
Skills & Competencies:
Knowledge of international postal and customs regulations. Willingness to learn. Strong attention to detail and organizational skills. Ability to work efficiently under deadlines and manage multiple tasks. Proficiency in basic computer systems (Microsoft Office, mail tracking software, or shipping platforms). Excellent communication and problem-solving abilities. Physical ability to lift and move packages (typically up to 50 lbs).
Working Conditions:
Primarily warehouse or mailroom environment. May require standing for extended periods and handling large volumes of mail or parcels. Regular interaction with postal representatives, couriers, and internal departments.
