Job Description
Summary This position is located in the Surgery Service at the Marion VA Medical Center (VAMC). The Surgery Service provides specialty administrative services in the areas of: Anesthesia, General Surgery, Optometry, Ophthalmology, Otolaryngology (ENT), Pain Management, Podiatry, Urology and Vascular Surgery in the Marion VA Health Care System, which includes the Marion VA Medical Center and the Evansville Health Care Center. The Incumbent provides administrative support for the Service. Responsibilities The incumbent provides specialty administrative services in the areas of: Anesthesia, General Surgery, Optometry, Ophthalmology, Otolaryngology (ENT), Pain Management, Podiatry, Urology and Vascular Surgery in the Marion VA Health Care System, which includes the Marion VA Medical Center and the Evansville Health Care Center.
MAJOR DUTIES AND RESPONSIBILITES
Maintains Chief's calendar of administrative appointments; schedules meetings and conferences Works with sensitive documents containing personally identifiable information Utilizes electronic systems for timekeeping purposes, continuing medical education, and travel requests Reviews outgoing correspondence for conformance with general policy, factual correctness, and adequacy of grammar Serves as primary timekeeper for multi discipline staff, along with coordinating and modifying schedules Assuring updates of Service-specific Medical Center Memorandums (MCMs) are accomplished in a timely manner, including monitoring re-issue dates; preparing draft for re-issue in accordance with facility guidelines; researching references to ensure materials are up-to-date and correctly annotated; and routing for appropriate approvals Completes training on service computer programs and packages along with answering questions and entering help desk tickets for service employees Provides program support for multiple service line committees to include scheduling in Outlook, securing meeting space, phone lines, transcribing and preparing agendas and minutesWork Schedule:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05 grade level. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: ability to provide full support of office administration including using automated systems to track program requirements using databases to capture information, produce reports, and provide accurate data validation, budget experience including tracking expenditures in automated systems and administration support to coordinate calendars, manage records control program, time and attendance responsibilities and provide management support.
