Job Description
Description We are looking for a friendly and organized Receptionist to support front-desk operations in Irvine, California. This Contract position is ideal for someone who enjoys creating a welcoming experience for visitors while keeping daily administrative activities running smoothly. The role requires strong communication skills, attention to detail, and the ability to manage calls, schedules, and office support tasks in a well-organized environment.
Responsibilities:
- Welcome guests, employees, and clients with a courteous approach that reflects the organization positively.
- Manage incoming calls through a multi-line phone system, direct inquiries to the appropriate contacts, and provide clear, helpful information.
- Coordinate appointments, meeting schedules, and front-desk activity to support an efficient daily workflow.
- Keep the reception area neat, orderly, and inviting to ensure a welcoming atmosphere for all visitors.
- Perform administrative tasks such as filing records, entering data, preparing documents, and organizing correspondence.
- Sort and distribute incoming mail, assist with outgoing packages, and help maintain adequate levels of office supplies.
- Support site access procedures by monitoring visitor entry and following established front-desk security practices. Requirements
- At least 2 years of experience in a receptionist or front-desk support role.
- Proficiency in handling inbound calls and operating a multi-line or switchboard phone system.
- Strong verbal and written communication skills with a detail-oriented and service-oriented demeanor.
- Ability to manage calendars, appointments, and multiple tasks with accuracy and efficiency.
- Experience with general administrative work, including data entry, document preparation, and filing.
- Comfortable working in a part-time reception capacity, if needed, based on business demands.
- Strong organizational skills and attention to detail in a fast-paced office setting.
