Job Overview We are seeking an organized Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your proactive approach and strong organizational skills will ensure smooth office management and support daily administrative functions. Responsibilities Greet visitors warmly and professionally, ensuring a positive first impression. Manage multi-line phone systems, directing calls accurately and courteously. Handle incoming and outgoing correspondence, including emails, mail, and packages. Maintain front desk appearance, including filing, organizing documents, and managing supplies. Support office management tasks such as calendar management, appointment scheduling, and data entry. Assist with clerical duties like proofreading documents, updating records, and maintaining databases. Provide excellent customer support by addressing inquiries promptly and effectively. Use computer skills to operate Microsoft Office Suite, Google Workspace, and other office software efficiently. Manage phone etiquette with professionalism and clarity at all times. Support bookkeeping tasks using QuickBooks or similar accounting software when needed. Skills Proven experience in office management or administrative support roles with strong clerical skills. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Strong computer literacy including proficiency in Microsoft Office, Google Workspace, data entry, and proofreading. Exceptional customer service skills with a friendly demeanor and professional phone etiquette. Ability to operate multi-line phone systems confidently and handle high call volumes smoothly. Bilingual abilities are a plus for communicating effectively with diverse clients and visitors. Experience in medical or dental receptionist roles is advantageous but not required; familiarity with calendar management is essential. Knowledge of bookkeeping software like QuickBooks or basic bookkeeping principles is preferred. Strong time management skills to prioritize tasks effectively throughout the day.
