Job Description
Description We are looking for a detail-oriented Receptionist to support a legal office in Grand Rapids, Michigan. This Contract position will serve as the first point of contact for visitors and callers, helping maintain an organized and welcoming front desk environment. The ideal candidate is comfortable managing incoming calls, assisting guests, and handling daily administrative support with a dependable and capable approach.
Responsibilities:
- Greet visitors at the front desk and provide a courteous, welcoming greeting upon arrival.
- Manage a multi-line phone system by answering inbound calls promptly and directing them to the appropriate staff members.
- Use the office intercom system to communicate with internal team members and announce visitors when needed.
- Monitor the lobby area to ensure the reception space remains organized, presentable, and ready for guests.
- Provide front desk coverage during designated periods while other office staff attend to additional responsibilities.
- Support basic administrative tasks that help keep daily office operations running smoothly.
- Assist with parking validation for visitors and confirm parking-related needs as part of the reception process.
- Follow the assigned break and lunch schedule while maintaining dependable front desk coverage throughout the day. Requirements
- Previous experience in a receptionist, front desk, or administrative support role.
- Ability to handle inbound calls effectively using a multi-line telephone system.
- Strong verbal communication skills and a customer-focused approach when interacting with visitors and callers.
- Comfortable learning and using an intercom system in a detail-oriented office setting.
- Reliable time management skills and the ability to maintain consistent front desk coverage.
- Strong organizational skills with attention to detail in a busy office environment.
- Appropriate demeanor and appearance suited to a legal office setting.
