Job Description

The Receptionist/Administrative Assistant will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support to ensure the smooth operation of the administrative office of Oceanside Supported Living. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively. This key position provides front desk reception duties for the office including answering and routing phone calls as well as greeting and directing customers and visitors.
Job Duties:
1.
Greet and Welcome Visitors:
Ensure every guest receives a warm and professional reception. Direct visitors to the appropriate person or meeting room. 2.
Answer and Direct Phone Calls:
Manage a multi-line phone system, transferring calls to the correct department or individual, and taking accurate messages when necessary. 3.
Manage Appointments and Maintain Office Calendar:
Schedule meetings, coordinate conference rooms, and ensure all appointments are accurately recorded and communicated. 4.
Perform Clerical Duties:
Handle tasks such as filing, photocopying, faxing, and data entry with a high degree of accuracy and confidentiality. 5. Assist with
Administrative Tasks:
Support various departments by preparing documents, reports, and presentations. Aid in the organization of company events and meetings. 6.
Coordinate Office Supplies:
Monitor and order office supplies to ensure stock levels are maintained. Handle inventory management and liaise with suppliers. 7.
Handle Incoming and Outgoing Mail and Packages:
Sort and distribute incoming mail and prepare outgoing mail, including parcels and courier services. 8.
Maintain Reception Area:
Ensure the reception area is clean, organized, and presentable, reflecting the company's professional image.
Qualifications:
1.
Education:
High school diploma or equivalent; additional education or certification in office administration is a plus. 2.
Experience:
Proven experience as a receptionist, administrative assistant, or similar role in a professional setting. 3.
Technical Skills:
Proficiency in MS Office (Word, Excel, Outlook) and familiarity with office equipment (e.g., printers, scanners, phone systems). 4.
Communication Skills:
Excellent verbal and written communication abilities. A friendly and professional demeanor when interacting with visitors and staff. 5.
Organizational Skills:
Strong organizational and multitasking abilities. Ability to manage time effectively and prioritize tasks. 6.
Professional Appearance:
Maintain a neat and professional appearance at all times.
Working Conditions:

Schedule:
Full-time position with standard office hours from Monday to Friday, 8:00 AM to 4:30 PM. 2.
