Job Description
The Sales Analyst / Administrative Coordinator plays a critical support role within the Sales and Operations teams. This position is heavily focused on administrative coordination, reporting, proposal preparation, data management, and sales process support. The ideal candidate is highly organized, detail-oriented, analytical, and capable of managing multiple priorities in a fast-paced environment. This role supports business development initiatives by maintaining accurate sales data, coordinating bid and contract documentation, tracking key metrics, assisting with customer communications, and ensuring smooth administrative operations throughout the sales cycle. Key Responsibilities Administrative & Sales Support Provide day-to-day administrative support to the Sales and Business Development teams. Prepare and maintain proposals, bid packages, presentations, contracts, and client documentation. Coordinate walkthrough schedules, meetings, site visits, and follow-up communications. Assist with onboarding new clients by organizing required documentation and internal handoffs. Maintain accurate electronic and physical filing systems for contracts, proposals, and client records. Support the preparation and submission of RFPs, RFQs, and service agreements. Reporting & Analytics Track and maintain sales activity reports, pipelines, revenue tracking, and KPI dashboards. Generate recurring and ad hoc reports using Excel and other reporting tools. Analyze sales trends, contract performance, customer activity, and operational data. Assist leadership with forecasting, budgeting support, and performance metrics. Monitor bid statuses, renewal dates, and contract timelines. Communication & Coordination Serve as a liaison between Sales, Operations, Recruiting, Payroll, and Executive Leadership teams. Communicate professionally with clients, vendors, and internal stakeholders. Assist with customer follow-ups, meeting preparation, and client correspondence. Coordinate internal approvals and ensure deadlines are met for proposals and client deliverables. Qualifications Associate or Bachelor's degree in Business Administration, Sales, Finance, Marketing, or related field preferred. 2+ years of administrative, sales support, analyst, or coordinator experience preferred. Experience in facility services, janitorial, landscaping, staffing, or service industries is a plus. Strong proficiency in Microsoft Excel, Word, Outlook, and PowerPoint. Experience with CRM systems, reporting tools, and data management preferred. Excellent organizational skills with strong attention to detail. Ability to manage multiple projects and deadlines simultaneously. Strong written and verbal communication skills. Ability to work independently and collaboratively in a fast-paced environment. #
