Job Description

POSITION SUMMARY
We are seeking a Treatment Coordinator who will be the main contact and guide for potential patients seeking orthodontic treatment. The Treatment Coordinator is an essential part of our orthodontic practice: combining clinical knowledge and sales expertise to deliver a clear and personalized consultation. We are looking for an empathetic, professional, and outgoing individual who can help build trust with potential patients-all within a limited appointment time. This role is for someone who is eager to learn and grow alongside an early stage orthodontic practice. It requires resilience, coachability, and a deep belief in the value of orthodontic care. Ongoing coaching, communication training, and sales development are core expectations. The Treatment Coordinator plays a vital role in advancing our mission to create a thriving community through the transformative power of orthodontics.
KEY RESPONSIBILITIES
New Patient Case Presentations Clearly explain the doctor's clinical findings and treatment plan using the latest technology, including 3D imaging and AI outcome simulation Help patients understand the benefits of treatment and the risks of delaying care Address concerns and confidently guide patients through common objections Verify insurance benefits and present fees and financing options Take and upload initial records (x-rays, 3D scans, photos) Document exams and send post-exam correspondence Follow-Ups & Lab Orders Follow up with pending and new patients to ensure they understand the complexities of their treatment Communicate updates and questions to referring dentists Order and manage lab cases (expanders, Invisalign, etc.) Document all new patient communications in our practice management software Schedule new patient appointments and set expectations for first visit Other Duties Actively participate in 1:1 coaching, sales training, and professional development Continuously refine consultation, communication, and case closing skills Represent Sea Glass at community events (may include evenings/weekends) Support the orthodontist and other team members to ensure a smooth, efficient patient experience All other duties that may be needed to support the team and our practice.=
QUALIFICATIONS & SKILLS
Prior orthodontic or dental experience required Proven sales experience with ethical persuasion and confidence in closing Growth-minded with a commitment to lifelong learning Warm, empathetic, and professional presence Excellent relationship-building and communication skills, including written skills Comfortable discussing financial arrangements Highly organized with strong attention to detail Tech-savvy (practice management software, email, Google Docs, etc.) Ability to provide a welcoming and comfortable atmosphere for patients of all ages and backgrounds Positive, team-first attitude aligned with a zero-drama approach to the workplace
WORK SCHEDULE & ENVIRONMENT
Full-time position, 32-40 hours per week May include occasional evenings and weekends Fast-paced, patient-centered orthodontic practice focused on teamwork and excellence No benefits included at this time
