We help clients navigate some of the most difficult moments of their lives; divorce, custody, domestic violence, and beyond. We are looking for an experienced, polished, and people-driven Client Intake Manager to own the front end of our client experience and become a key driver of firm growth. This is not an entry-level role. We are looking for someone who has worked with people through hard situations, who knows how to build trust quickly, and who can close a conversation with confidence and care. If you have law firm experience, or spent your career in sales, client relations, healthcare intake, financial services, or any field where relationships and results both matter, we want to talk to you. About the Role As Client Intake Manager, you will be the first voice potential clients hear and the person responsible for turning that first call into a retained client. You will own the intake process end to end — from the moment a lead comes in across any channel to the point where a client signs an agreement and joins our family. You will handle the clients who need guidance and reassurance, not necessarily an attorney, and you will close them with professionalism and warmth. This is a highly autonomous role. You will set the standard for how intake is done at this firm, work closely with our attorneys, and be trusted to make real-time judgment calls that directly impact revenue and client outcomes. What You Will Do Own all inbound leads across phone, Yelp, Avvo, Google Local Services, our website and other various platforms. Responding quickly, qualifying thoroughly, and moving the right people forward. Handle consultations and client conversations for matters that do not require an attorney on the first call — guiding potential clients through their options, addressing concerns, and closing them on retaining the firm. Manage our intake CRM (GoHighLevel) with precision. Every contact entered correctly, every note complete, every pipeline stage current. Data accuracy is non-negotiable in this role. Coordinate with attorneys on scheduling, case fit, and routing. Knowing when to close the client yourself and when to bring in legal counsel is vital. Identify patterns in lead quality, conversion rates, and drop-off points, and bring that intelligence to firm leadership to inform decisions. Set and maintain the standard for how this firm communicates with potential clients — the language we use, the warmth we bring, and the professionalism we project. Provide oversight of intake coverage and quality, ensuring nothing falls through the cracks and every lead is treated with the urgency it deserves. Who You Are We are looking for someone with seasoned professional experience and real-world judgment. This role requires a person who has navigated complex, emotionally charged conversations and come out the other side with both the client's trust and a clear outcome. You have significant experience in a client-facing role where closing, converting, or retaining clients was part of your job — sales, business development, financial advising, healthcare intake, insurance, legal, or a similar field. You are a natural communicator. You know how to meet someone where they are emotionally and guide the conversation to a productive outcome without it feeling like a script. You are detail-oriented in a way that matters — the kind of person who double-checks spellings, confirms case numbers, and understands that accuracy in documentation has real downstream consequences. You are comfortable with technology — CRMs, Slack, multi-platform inboxes, call systems. You have the maturity and life experience to handle people in crisis with composure, patience, and genuine empathy — without losing sight of the outcome. You take ownership.
