Hindi is a consumer-protection law firm representing individuals in matters involving unwanted calls and texts, unlawful debt collection, credit-reporting issues, and privacy violations. Our practice includes individual litigation, class actions, and mass arbitration. We are seeking a personable, organized, and dependable Client Manager to serve as the welcoming face and voice of our office and the primary day-to-day point of contact for our clients. About the Position This is an in-person, front-desk position combining client relationship management with receptionist responsibilities. You will answer incoming calls to the firm's main number during business hours, welcome visitors, and help ensure that clients receive responsive, professional, and attentive service. Your primary responsibility is taking care of our existing clients. Once someone signs a representation agreement, our intake team will hand off that client to you. From that point forward, you will be their main contact for routine questions, case-update requests, and other communications that do not require an attorney's direct involvement. You will work closely with our paralegals and attorneys to obtain accurate information, communicate updates, and make sure client questions do not fall through the cracks. Key Responsibilities Answer and direct incoming calls. Handle calls to the firm's main number promptly and professionally, assist callers, take accurate messages, and route prospective clients to the intake team. Manage the front desk. Greet clients and visitors and maintain a welcoming, professional reception area. Welcome newly retained clients. Receive handoffs from intake after representation agreements are signed, introduce yourself, and make sure clients know how to contact you for assistance. Respond to client update requests. Review the client's file in Filevine, our case-management system, and communicate available status information accurately and in accordance with firm guidance. Obtain answers and follow through. When a client's question cannot be answered from Filevine, contact the assigned paralegal or appropriate team member, track the request, and follow up with the client once an answer is available. Handle routine, nonlegal client communications. Answer administrative questions, relay information approved by the legal team, and help clients understand routine next steps without offering legal advice or speculating about their cases. Recognize and escalate issues appropriately. Identify questions requiring legal judgment, requests to speak with an attorney, and concerns needing additional attention, and coordinate with the appropriate team member. Keep complete, accurate records. Document client communications, questions, relevant information, and follow-up needs in Filevine so the team has a clear record of each interaction. What We're Looking For Excellent verbal and written communication skills, including a warm, professional telephone manner. Patience, empathy, and the ability to remain calm and respectful when a client is frustrated, worried, or asking repeated questions. Strong organizational skills and dependable follow-through, with the ability to manage incoming calls and multiple open requests without losing track of details. Comfort using computers, phone and messaging systems, and learning case-management and internal communication tools. Sound judgment, discretion with confidential information, and the ability to recognize when an issue needs a paralegal's or attorney's attention. Reliability and punctuality for a role requiring consistent, in-person front-desk coverage.
