In this role, you will be the first point of contact for clients. Your responsibilities will include coordinating, scheduling meetings, and ensuring follow-through on all action items. You will work closely with our Client Services Representative and the Director of Operations, who are both committed to a client first philosophy. In this role at PFW Advisors, you'll source and grow client relationships by proactively identifying, qualifying, and tracking new opportunities. You'll own the top of the funnel (Creating awareness and initial interest) and middle of the funnel (Developing and qualifying that interest). Logging leads in the CRM, advancing them through defined pipeline stages, and coordinating timely follow-ups. You'll drive the steps to completion through intro calls, data discovery requests, etc., ensuring every record has a clear owner, due date, and next action. You'll also generate prospects through networking, COI (Centers of Influence) partnerships, gathering referral details, gaging interest levels, COI follow-ups to convert interest into qualified opportunities and ultimately set up the Advisor for a strong close.

This is a full-time, in-office position.
Ideal Candidate:
The ideal candidate is someone who brings a jump-in, can-do, positive attitude, outstanding communication and interpersonal skills, and goal oriented. Professional polish is essential as you will have direct client interaction. This candidate should be experienced in front-facing client relations with a passion for delivering white-glove service and keeping client operations organized and running smoothly. Complete client discretion is required. Experience with sales, business development, CRM, handling is preferred but not required. A strong work ethic, professionalism, and a commitment to continuous learning and improvement are essential. You communicate clearly (written and verbal), and thrive in a collaborative, client-centered team. Core Responsibilities:
1. Assist with marketing efforts Lead efforts to organize and prioritize perspective client meetings and follow up Work with our marketing firm to fine tune our marketing efforts and maintain our prospects and opportunity list 2. Client and prospective client onboarding & transitions Coordinate new and prospective client contact and meeting Welcome clients, set expectations, and create onboarding timelines 3. Scheduling meetings, events and follow-up Organize and maintain regular follow-up with clients and prospective clients, including scheduling Assist in scheduling and follow up for firm speaking engagements Organize and maintain contact with professionals that we share clients and prospective clients. 4. Meeting prep & follow‑through • Capture notes, log tasks in the CRM, and drive all post‑meeting action items to completion • Track open items and proactively update clients and the advisor
Qualifications:
2-5+ years in client service, operations, or coordinator roles (financial services preferred) Clear, professional communication skills (written and verbal) with a helpful, solutions‑oriented tone Meticulous attention to detail; strong follow‑through and task ownership Proficiency with Office 365/Word/Excel, CRM/workflow tools and document handling. comfortable learning new systems Sound judgment, discretion, and respect for client confidentiality Ability to prioritize, manage deadlines, and thrive in a team‑based environment Compensation & benefits: •
Base Salary:
$55,000 - $75,000 (dependent on experience, market, and firm size). •
Bonus Opportunity:
5-15% of salary , based on individual goals, client satisfaction and performance. •
