Description:
The Key Account Coordinator provides day-to-day coordination and customer support for assigned key accounts, helping ensure accurate orders, timely communication, effective issue resolution, and a positive customer experience. The coordinator works closely with Business Development Managers, Sales, Customer Service, Operations, Supply Chain, Finance, and other internal teams to coordinate customer needs and ensure commitments are followed through to completion. This role supports the execution and coordination of key accounts rather than owning the strategic direction of the account. Success requires strong organization, communication, accuracy, accountability, and follow-through. Core Responsibilities Coordinate day-to-day activities and requests for assigned key accounts, serving as a primary point of contact for routine customer needs. Process and monitor customer orders, verifying products, quantities, pricing, documentation, availability, and delivery requirements. Track orders, shipments, deliveries, backorders, requests, and outstanding issues through completion. Maintain accurate customer records, pricing, contracts, account documentation, and information within CRM, ERP, and other systems. Communicate proactively with customers and internal teams regarding order status, changes, delays, availability, and issue resolution. Coordinate with Sales, Key Account Managers, Operations, Supply Chain, Customer Service, Finance, and other teams to resolve customer needs and align priorities and deadlines. Support Account Managers with customer meetings, account reviews, presentations, forecasts, business updates, and account initiatives. Coordinate customer requirements including product availability, pricing, promotions, samples, invoices, credits, returns, claims, and other account matters. Identify potential service issues, recurring concerns, and opportunities for improvement; escalate appropriately while maintaining ownership through resolution. Prepare accurate sales, account, order, and customer reports to support account management and business decisions. Contribute to process improvements that increase efficiency, reduce recurring issues, and enhance the customer experience. Maintain confidentiality, follow company policies and approval requirements, and maintain professional relationships with customers and internal stakeholders.
Requirements:
Required 1-3 years of experience in account coordination, customer service, sales support, operations, order management, or a related role. Strong organizational and time-management skills. Excellent written and verbal communication skills. Strong attention to detail and accuracy. Ability to manage multiple priorities and deadlines in a fast-paced environment. Strong problem-solving and follow-through skills. Proficiency with Microsoft Office, particularly Excel and Outlook. Ability to build positive working relationships with customers and internal teams. Preferred Bachelor's degree in Business, Marketing, Communications, Supply Chain, or a related field. Experience supporting key or strategic customer accounts. Experience with CRM, ERP, order-management, or sales systems. Salesforce a plus. Experience working cross-functionally with Sales, Operations, Finance, or Supply Chain. Experience preparing customer reports, presentations, or account reviews.
