Equipment Rental Office & Operations Coordinator Join Our Growing Equipment Rental Team! We're looking for an organized, motivated, customer-focused professional to become the backbone of our expanding equipment rental business. This is much more than an office position… you'll play a key role in customer service, rental coordination, business development, equipment tracking, and helping the company continue to grow. Position Overview As our Equipment Rental Office & Operations Coordinator, you'll ensure customers receive outstanding service while keeping rentals, deliveries, maintenance records, and business development activities organized and running smoothly. Your ability to communicate, follow through, and stay detail-oriented will directly impact the success of our company. Primary Responsibilities Customer Service & Rental Coordination Answer incoming phone calls, texts, emails, and online inquiries. Assist customers with equipment selection, pricing, availability, and scheduling. Create and update rental reservations accurately. Coordinate delivery and pickup scheduling. Provide professional, friendly customer service from the first call through equipment return. Sales & Customer Follow-Up Follow up on quotes and incomplete rental inquiries. Maintain relationships with repeat customers. Track lost rental opportunities and identify ways to improve. Record equipment requests for future purchasing decisions. Business Development Contact local contractors, landscapers, excavation companies, fence companies, hardscape contractors, property maintenance companies, and other commercial businesses. Introducing our equipment rental services. Build long-term relationships with commercial customers. Maintain prospect lists and schedule future follow-ups. Rental Administration Track equipment reservations, deliveries, pickups, and returns. Record equipment condition, fuel levels, hour-meter readings, photos, damage, and missing items. Keep rental records organized and current. Communicate scheduling updates with management and drivers. Equipment Maintenance Records Maintain complete service histories for each machine. Track maintenance schedules, repairs, service intervals, and costs. Monitor equipment approaching scheduled maintenance. Help ensure equipment stays ready for rentals.

Friendly and professional Highly organized Detail-oriented Self-motivated Comfortable multitasking Strong with customer communication Dependable and accountable Computer proficient Able to learn rental management software Interested in helping grow a small business Preferred Experience Customer Service Administrative or Office Experience Sales or inside sales Equipment rental, construction, landscaping, or contractor experience (preferred but not required) Scheduling or dispatch experience is a plus What Success Looks Like The ideal candidate responds quickly to customers, follows up on opportunities, keeps accurate records, communicates effectively with the team, helps maintain equipment information, builds strong customer relationships, and contributes to the continued growth of the business.
