The Client Coordinator is a key role that keeps clients informed, documents organized, and work moving smoothly between our team, clients, and vendors.​ Job summary The Client Coordinator is the primary point of contact for tax planning and tax preparation clients. You will manage client communication, gather and organize tax documents, and coordinate workflow so returns and planning engagements are completed accurately and on time. This role is ideal for someone who enjoys talking with people, staying on top of many moving parts, and following clear processes to keep everything on track.​ Key responsibilities Serve as the main day-to-day contact for clients via email, phone, and client portal, providing timely, friendly, and clear communication. Request, track, and organize all required tax documents using established checklists and our online tools until each file is "prep ready."​ Coordinate with tax preparers: assign work, respond to basic questions, relay requests for missing information, and monitor turnaround times. Maintain accurate status updates for each return and planning engagement in our systems so deadlines and priorities are always clear.​ Perform first-level checks on returns and deliverables for completeness and obvious inconsistencies before they go to a CPA/strategist for technical review.​ Help refine communication templates and workflow steps to improve client experience and internal efficiency over time.​ We are looking for someone whose natural working style looks like this: You take ownership and keep things moving, but you don't need to "run the room" (balanced drive and initiative).​ You enjoy frequent communication and build rapport easily with clients and team members (outgoing, people-oriented).​ You are comfortable in a fast-paced environment with many open tasks and follow-ups (low need for routine, high comfort with variety).​ You genuinely care about details, accuracy, and following checklists and processes (high formality and quality focus).​ If people often describe you as friendly, organized, responsive, and reliable—and you like making sure nothing falls through the cracks—you are likely a strong fit.
Qualifications Required:
2+ years of experience in a client-facing coordinator, customer service, admin, or account support role. Strong written and verbal communication skills; comfortable communicating with professionals and business owners.​ High attention to detail and strong organizational skills; confident managing multiple clients, tasks, and deadlines at once.​ Comfortable using online tools such as email, shared drives/portals, and basic CRM or project management software.​
Preferred:
Experience in a tax, accounting, financial services, or professional services environment. Experience working with external vendors or distributed teams is a plus. Schedule, location, and compensation Full-time, Monday-Friday. Columbia, MO based; hybrid work with some in-office time for onboarding, collaboration, and team meetings.​ Competitive pay based on experience, plus potential performance-based incentives.
