Job Description

As a Student Account Specialist, you will play a pivotal role in shaping the student experience by ensuring financial processes are seamless, transparent, and supportive. At Centenary University, our work is guided by three core priorities: Student Success, University Vitality, and World Engagement. As a Student Account Specialist, you will contribute to advancing these priorities by ensuring students and their families experience clarity, confidence, and support in navigating the financial aspects of their education. This role goes beyond transactions; it is about partnership. You will serve as a trusted resource for students, families, and campus partners, helping to remove financial barriers, enable informed decisions, and support enrollment and retention goals. Core Responsibilities:
Student Account Management & Financial Operations Process and reconcile daily accounts receivable transactions, including invoices, payments (cash, check, credit card, and wire), and miscellaneous billings within the Ellucian Colleague system Audit and analyze student accounts to ensure accuracy, resolve discrepancies, and process adjustments, refunds, and account holds Prepare and manage third-party billings, ensuring timely invoicing and follow-up on outstanding receivables Customer Experience & Student Support Serve as a primary point of contact for student financial inquiries, delivering responsive, clear, and solutions-oriented support via in-person, phone, and email interactions Conduct proactive outreach to students and families regarding payment options, supporting enrollment, persistence, and overall student success Collections & Compliance Manage past-due accounts through structured collections processes, including communications, payment arrangements, and agency referrals Prepare and submit write-offs for approval in accordance with institutional policies Monitor uncashed and escheated refund checks and ensure appropriate follow-up and compliance Financial Coordination & Partnerships Collaborate with Financial Aid, Veterans Services, and external partners to ensure accurate processing of student funding sources, including military benefits and third-party sponsorships Partner with the Follett Bookstore to administer financial aid voucher programs, including reconciliation and invoice approval each semester Cash Handling & Administrative Processes Review and process petty cash requests in alignment with university policies and internal controls Maintain accurate financial records and support audit readiness through consistent documentation and reconciliation practices Reporting & Continuous Operations Generate ad hoc reports and provide insights to support financial operations and decision-making Adapt to shifting priorities, manage multiple responsibilities, and operate effectively in a fast-paced, service-oriented environment Institutional Engagement Participate in university committees and cross-functional initiatives as assigned Support departmental needs, including occasional evening and weekend hours, to ensure operational continuity Centenary University is a learning community comprised of multifaceted and complex differences and we welcome all.
