ABOUT US FSILG
Cooperative Incorporated (FCI) is a purchasing cooperative that assists MIT associated fraternities, sororities, and independent living groups (FSILGs) with their facility management tasks. FCI is a close-knit team that takes pride in delivering reliable personalized service to MIT's FSILGs. Every team member plays a hands-on role in keeping our operations running smoothly.
POSITION SUMMARY FCI
is looking for a dependable and detail-oriented individual to perform the day-to-day financial operations of FCI.
Responsibilities include:
handling vendor bill payments, client invoicing, maintaining financial records, reconciling accounts, interfacing with FSILG and MIT contacts, and providing general administrative support. This role is ideal for a self-starter who thrives in a small-business environment, takes ownership of their work, and enjoys building relationships with FCI's vendors, FSILG representatives and MIT partners.
KEY RESPONSIBILITIES
Client and Vendor Account Management
  • Set up and maintain client accounts, including updating client membership information
  • Serve as a primary point of contact for client inquiries about billing issues, account balances, and transaction history
  • Enter and categorize accounts receivable transactions in the accounting system
  • Manage the statement and collections process
  • Maintain confidentiality and security of all client financial information
  • Ensure compliance with client service agreements and company policies
  • Review and verify vendor invoices for accuracy, authorization, and proper coding
  • Enter and categorize accounts payable transactions in the FCI accounting system
  • Set up and manage vendor accounts as needed, including vendor information and payment methods
  • Resolve billing discrepancies and vendor issues in a timely manner Record Keeping & Reconciliation
  • Maintain accurate and up-to-date financial records for the organization
  • Reconcile bank accounts monthly
  • Investigate and resolve reconciliation discrepancies and outstanding item Reporting & Compliance
  • Generate monthly financial summaries for the Executive Director, including income, expenses, and outstanding payables
  • Assist with year-end closing
  • Maintain organized, audit-ready financial files
  • Follow internal controls related to fund handling and data protection General Administrative Support
  • Answer phones, greet clients, and handle general office inquiries as needed
  • Manage vendor relationships, and basic administrative tasks
  • Support the Executive Director with special projects and day-to-day business operations
QUALIFICATIONS
Education & Experience
  • Bachelor degree in Accounting, Finance, or related field
  • 2-5 years of relevant experience (e.g. bookkeeping, accounting)
  • Small-business experience a plus Technical Skills
  • Proficiency in QuickBooks or similar accounting software
  • Comfortable navigating online banking portals and electronic payment systems Preferred Additional Qualifications
  • Prior experience in a bill payment, or financial services company
  • Prior experience in an academic, cooperative, or real estate services environment
  • Familiarity with data privacy practices for handling sensitive client financial information
Pay:
$60,000.00 - $80,000.00 per year
