Job Description
Travel Operations & Client Experience Coordinator Role Summary The Travel Operations & Client Experience Coordinator assists in managing client bookings, CRM accuracy, vendor communications, travel documentation, and office organization. This role ensures every traveler receives timely communication, accurate reservations, and a seamless experience from initial inquiry through post‑trip follow‑up. Key Responsibilities Client Booking & CRM Management Add all trip‑request clients to the CRM, including name, email, and phone number. Create reservations and record all booking details in the CRM. Process deposits and final payments; update CRM payment records and send client confirmations. Schedule and manage final payment tasks, including separate tasks for multi‑traveler bookings. Add insurance bookings (TG, Allianz, or other vendors) and payment details to the CRM. Add frequent flyer numbers, TSA PreCheck numbers, and all traveler profile details to CRM and flight bookings. Record celebrations (birthdays, anniversaries) in CRM for future client engagement. Add bookings to Caribbean website and submit resort bookings for agent rewards. Monitor CRM tasks assigned to ensure timely completion. Client Communication & Documentation Send deposit, partial payments, and final payment receipts to clients. Email destination and resort information to all guests. Prepare travel document folders (paper or cloth), notify clients when ready, and coordinate pickup or mailing. Mail travel documents via USPS. Mail thank‑you cards to clients upon their return. Send destination or cruise postcards to newly booked guests. Responsible for the office phone, messages, texts and WhatsApp messages from clients. Check Amber's email box regularly for any tasks assigned to Coordinator. Travel Logistics Assign flight seats for outbound and return flights. Book independent cars and hotels; add all details to CRM. Financial & Reporting Enter commission data into spreadsheets in order of travel date. Office Operations Take out trash and maintain a clean workspace. Water plants and maintain office environment. Retrieve USPS mail daily. Keep office organized and presentable. Required Skills & Qualifications Strong attention to detail and accuracy in data entry. Excellent communication and client‑service skills. Ability to manage multiple bookings and deadlines simultaneously. Proficiency with CRM systems, spreadsheets, and travel vendor platforms. Highly organized with strong follow‑through. Preferred Qualifications Experience in travel planning, hospitality, or customer service. Familiarity with airline seating systems, travel insurance vendors, and reservation platforms. Ability to work independently and anticipate client needs. Commission Ability to earn commission on travel
Pay:
$12.00 - $15.00 per hour Expected hours: 8.0 - 15.0 per weekBenefits:
