Job Description The Account & Order Management Specialist is responsible for managing customer orders and providing day-to-day account support while serving as a key partner to the outside sales team. This role combines accurate and timely order processing with proactive customer service, account coordination, inventory and fulfillment support, and general sales administration. The ideal candidate is organized and detail-oriented, but also commercially minded and comfortable developing relationships with customers and sales representatives. They will understand their assigned accounts, anticipate customer needs, provide timely information on product availability and ETAs, and help ensure a positive customer experience from order placement through delivery. This position is an important link between customers, outside sales, product support, warehouse operations, supply chain, and other internal teams. Key Responsibilities Order Processing & Account Management Receive, review, enter, and process customer orders accurately and efficiently. Verify order details including product availability, pricing, shipping instructions, and customer-specific requirements. Manage open orders from receipt through fulfillment, proactively communicating status updates and resolving order-related issues. Serve as a primary point of contact for assigned customer accounts regarding orders, backorders, shipment schedules, product availability, and account-related questions. Maintain a strong working knowledge of assigned accounts, including purchasing patterns, key contacts, product mix, and general business needs. Monitor customer ordering activity and communicate unusual changes, potential issues, or opportunities to the appropriate sales representative. Provide customers with timely and accurate information regarding product availability and expected delivery dates. Process credits, returns, and order adjustments in accordance with company policies and procedures. Maintain accurate customer account records and documentation. Customer Support & Sales Team Partnership Provide professional, responsive support to customers via phone, email, and ticketing systems. Serve as a day-to-day inside support resource for assigned outside sales representatives. Coordinate with outside sales on customer requests, open orders, product availability, and account issues. Provide outside sales with relevant account information, order history, backorder status, inventory availability, and other information needed to effectively manage customer relationships. Build strong working relationships with customers by providing consistent, knowledgeable, and reliable service. Identify customer questions, needs, or concerns that may require follow-up from the outside sales team. Assist customers in navigating available resources, product information, and company processes. Maintain ownership of customer issues through resolution, even when support from other departments is required. Inventory, Product & Fulfillment Support Collaborate closely with warehouse, supply chain, and operations teams to monitor inventory availability and order priorities. Track shipment status and provide customers with delivery and tracking updates. Assist in resolving fulfillment challenges including shipping delays, damages, shortages, or lost shipments. Identify and communicate potential supply or distribution issues that may impact customer orders. Develop a general understanding of customer purchasing patterns and, where appropriate, provide input or recommendations regarding stocking levels and anticipated product needs. Support new product launches by assisting with customer communications, order coordination, and product availability information. Account Support & Business Development Develop a working knowledge of assigned customers and their purchasing behavior to better anticipate their needs. Monitor account activity and communicate significant changes in purchasing patterns to the appropriate sales representative. Identify potential opportunities for additional products or product categories and refer them to the outside sales team. Assist outside sales representatives with account preparation, customer follow-up, and general sales administration. Support customer-specific stocking, product, and availability inquiries. Provide feedback to sales and management regarding recurring customer requests, product needs, and service issues. Process Improvement & Administrative Support Maintain a high degree of accuracy in order entry, account records, and related documentation. Support continuous improvement initiatives aimed at enhancing customer experience and operational efficiency. Participate in product training and new product launch activities. Assist with maintaining customer-facing knowledge base resources and internal process documentation. Identify recurring customer service or order management issues and recommend practical process improvements. Assist with reports, account maintenance, data entry, and other administrative activities necessary to support the sales and customer service functions. Perform other related duties and projects as assigned. Qualifications 3+ years of experience in customer service, account management, order fulfillment, inside sales support, distribution, or a related field. Experience working with business-to-business customers and supporting sales teams is preferred. Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Strong customer service and relationship-building skills. Experience with order management, customer account support, customer service, or supply chain operations. Ability to manage multiple priorities and follow through on commitments in a fast-paced environment. Proficiency with ERP systems, Microsoft Office, and customer service/ticket management platforms. Strong problem-solving skills with a customer-first mindset. Ability to develop a practical understanding of products, customers, and business processes. Role Expectations This position requires a balance of transactional accuracy and proactive account support . The successful candidate will be comfortable performing the administrative and order-management responsibilities of the position while taking initiative to understand customer needs, support the outside sales team, and identify opportunities to improve the customer experience. The role is not a traditional sales position , but the individual should have a commercial mindset and understand how their work contributes to customer retention, account growth, and overall sales performance.
