Job Description

Marketing & Client Acquisition Coordinator Insurance & Financial Planning Agency We are a growing insurance and financial planning practice seeking a motivated, personable, and highly organized Marketing & Client Acquisition Coordinator to help expand our client base, strengthen relationships with Centers of Influence, and create a consistent pipeline of qualified appointments for our CEO and Financial Advisor. This is a hands-on growth position combining marketing, business development, prospecting, appointment setting, event coordination, and client service . The ideal candidate is comfortable both behind the scenes executing marketing campaigns and directly engaging with prospective clients and referral partners by phone, email, social media, and in person. What You'll DoClient Acquisition & Appointment Setting A major focus of this position is turning marketing activity and relationships into qualified appointments.
You will:
Proactively reach out to prospective clients by phone, email, social media, and other communication channels. Follow up consistently with leads generated through marketing campaigns, referrals, events, networking, and other sources. Conduct outbound prospecting and warm-lead follow-up to schedule qualified appointments for the CEO/Financial Advisor. Maintain an organized follow-up process so prospective clients do not fall through the cracks. Confirm appointments and help reduce cancellations and no-shows. Track prospect activity, conversations, follow-up dates, appointments, and outcomes in the firm's CRM. Help develop and improve scripts, messaging, follow-up sequences, and prospecting campaigns. Centers of Influence & Business Development Build and maintain relationships with professionals and organizations that can become valuable referral partners and Centers of Influence (COIs), including CPAs, attorneys, real estate professionals, mortgage professionals, business owners, HR professionals, and other strategic partners.
Responsibilities include:
Identify and research potential COIs and referral partners. Conduct introductory outreach and schedule meetings for the CEO/Financial Advisor. Maintain regular communication and follow-up with existing referral relationships. Coordinate lunches, networking meetings, educational events, webinars, and other relationship-building opportunities. Help develop campaigns designed to generate introductions and referrals from professional partners. Marketing & Lead Generation Help execute an integrated marketing strategy designed to increase visibility, engagement, leads, and appointments.
Responsibilities may include:
Plan, create, schedule, and coordinate social media content and campaigns. Help manage the firm's presence on LinkedIn, Facebook, Instagram, Google, and other relevant platforms. Assist with SEO, website content, local search visibility, and online lead-generation initiatives. Develop and coordinate email newsletters, prospect campaigns, drip campaigns, and client communications. Create marketing materials and coordinate digital and print campaigns. Track campaign performance and identify which marketing activities are generating leads and appointments. Help maintain a consistent brand voice and professional online presence. Events & Community Marketing Plan and coordinate client appreciation events, educational seminars, webinars, networking events, workshops, and prospecting events. Manage invitations, registration, reminders, logistics, and post-event follow-up. Develop strategies for converting event attendees into appointments and prospective clients. Identify community organizations, businesses, and professional groups that create opportunities for visibility and relationship development. Client Service & Relationship Management Provide professional, responsive communication to clients and prospective clients. Assist with client follow-up, scheduling, and relationship-management activities. Coordinate communications between clients, prospects, and the advisory team. Help identify opportunities for additional meetings, referrals, reviews, and introductions. Maintain accurate and timely information in the CRM. Deliver a high-quality experience at every stage of the client and prospect journey. Who We're Looking For The ideal candidate is: Personable, confident, and comfortable speaking with new people. Comfortable making outbound calls and directly asking prospects to schedule appointments. Persistent and disciplined with follow-up without being overly aggressive. An excellent verbal and written communicator. Organized and capable of managing multiple campaigns, prospects, events, and deadlines simultaneously. Familiar with social media marketing and digital marketing concepts. Comfortable learning CRM, email marketing, scheduling, and marketing technology. Creative enough to generate marketing ideas but execution-oriented enough to consistently implement them. Relationship-driven and able to communicate professionally with clients, business owners, executives, and professional referral partners. Goal-oriented and motivated by measurable results. Experience in insurance, financial services, wealth management, financial planning, banking, professional services, marketing, sales, business development, or client service is preferred but not necessarily required for the right candidate. How Success Will Be Measured This is a results-oriented position.

The person in this role will become an important part of the firm's growth engine —helping us create awareness, develop relationships, generate opportunities, nurture prospective clients, and ultimately turn those opportunities into appointments for our CEO and Financial Advisor. We are looking for someone who enjoys both marketing and human interaction : someone who can help create a campaign, organize an event, build a relationship with a referral partner, follow up with a prospective client, pick up the phone, and confidently ask for the appointment.
