Our marketing team supports each brand in reaching and serving patients, donors, and referral partners. About the Role We are looking for an organized, hands-on Marketing Coordinator to keep our marketing engine running behind the scenes. Reporting to the Marketing Director, you will coordinate production shoots and create day-to-day social content across our brands, working with our internal team, professional videographers, and external creative partners. This role is heavy on coordination and organization, and your work will happen on two levels: Level 1: Professional shoots. Identify and organize on-site productions with professional videographers, then hand the footage to our corporate marketing team for advanced editing and distribution. Level 2: Social and brand awareness content. Create and edit on-site social and brand awareness content and campaigns for our social media channels. Key Responsibilities Level 1: Professional Video Production Identify and coordinate all on-site production needs, and organize professional shoots with professional videographers. Build and maintain long-range shoot schedules around physician and staff availability. Prepare physicians and staff for shoots (topics, timing, wardrobe), and build and distribute shoot-day agendas and shot lists. Manage shoot-day logistics, including microphones, teleprompters, and video equipment, and guide on-camera talent. Review and log footage as it is captured, and deliver it to the corporate marketing team on a fixed monthly production cycle for advanced editing and distribution. Organize and tag the media library so offsite editors and international team members can find assets quickly. Level 2: Social & Brand Awareness Content Create and edit on-site content and brand awareness campaigns for social media, including short-form video cutdowns. Film day-to-day social content on-site for Hanabusa IVF, Asian Egg Bank, and Lotus Donor Bank. Apply current social media and content trends to content planning, keeping healthcare sensitivities in mind. Write, batch, and schedule copy and captions for social posts and recurring communications, including monthly support-group emails, partner updates, and physician or partner spotlights. Monitor and respond to comments and direct messages across brand social channels. Events & Event Logistics Coordinate event organization and setup for general and special events, including conference exhibits. Plan on-site content capture and shot lists for events, and coordinate post-event recap content (graphics, social posts, highlight video) with creative partners. Prepare packing and shipping lists and labeling for conferences and special events. Support seasonal and cultural programming, such as holidays, and partner and community appreciation events, including recognition and seasonal creative (anniversaries, holidays, office and patient-area décor). Provide copy and coordination support for program sheets and event materials. Promotional Materials, Ordering & Inventory Research and source vendors for promotional items and printed materials, and place orders. Track proofs and approvals through to delivery, and coordinate print production runs, including cards, brochures, and signage. Track inventory and manage reorders across brands. Manage ordering and packaging for partner appreciation gifts. Cross-Team Coordination Serve as the internal point of contact for the corporate marketing team and creative partners, gathering and routing requests, materials, and approvals. Required Qualifications Bachelors in Marketing, Communications or related A minimum of [2+] years of experience in marketing operations, production coordination, events, or a similar coordination or administrative role. Excellent organization, scheduling, and project coordination skills, with the ability to manage multiple deadlines across multiple brands. Proficiency in Canva, CapCut, and Adobe Creative Cloud, Premiere Pro, Final Cut Pro Working knowledge of video equipment, including cameras, microphones, teleprompters, and basic lighting, with hands-on filming experience for interview-style and social content. Knowledge of current social media trends, and working knowledge of Instagram, Facebook, LinkedIn, YouTube, and social scheduling tools. Understanding of healthcare marketing sensitivities, with discretion around confidential and patient-related information and willingness to follow consent, talent release, and privacy protocols when filming in clinical environments. Comfort working with physicians, executives, and clinical staff, and coordinating around demanding schedules. Strong written communication skills, including short-form copy, script writing, and captions. Experience with vendor management, purchasing, or inventory tracking. Highly organized and timeline driven Proficient at developing production calendars Preferred Qualifications Experience in healthcare, fertility, or life sciences marketing. Experience with technology and photography and videography Familiarity with multi language productions a plus Working Conditions On-site role; in-person presence is required for filming, events, and inventory management. Occasional event and conference travel, with some evening or weekend support. Company-provided filming equipment. You will be properly onboarded and trained.
