This position coordinates marketing programs and initiatives, supports scientific and technical communications, manages marketing materials and digital content, and assists with conferences, events, and external communications. The ideal candidate is highly organized, detail-oriented, and comfortable working with scientists, engineers, executives, and external partners. The position requires the ability to translate complex technical information into clear, engaging communications for a variety of audiences. Position Details The Marketing Coordinator supports NTT Research, Inc.'s marketing, communications, events, and business development activities within a highly technical and research-driven environment. This position coordinates marketing programs and initiatives, supports scientific and technical communications, manages marketing materials and digital content, and assists with conferences, events, and external communications. The ideal candidate is highly organized, detail-oriented, and comfortable working with scientists, engineers, executives, and external partners. The position requires the ability to translate complex technical information into clear, engaging communications for a variety of audiences. Responsibilities Manage invoicing and expense reporting in Concur, ensuring accuracy, reconciliation, and timely processing. Track and coordinate Purchase Orders (POs), monitoring approvals, status, and budget alignment. Support accounting review processes by coordinating documentation, resolving discrepancies, and ensuring compliance. Serve as primary liaison between internal teams and registration vendors, facilitating registration workflows, timelines, data exchange, and attendee communications. Manage project communications in Basecamp to maintain alignment across teams, deadlines, and deliverables. Provide calendar and scheduling support for the CMO and Marketing Manager, coordinating internal and external meetings across time zones. Coordinate Upgrade speaker meetings and logistics, including scheduling, preparation, and follow-up communications. Manage Reality Rewrite newsletter template edits, translations, content updates, and distribution. Act as point of contact between internal stakeholders and the Aplos web development team, retrieving updates, clarifying requirements, and relaying feedback. Support vendor research and procurement for Upgrade, including sourcing and coordinating vendors such as heat-mapping technology to track attendee engagement and interest. Qualifications and Skills Bachelor's degree in Marketing, Communications, Business, Journalism, or a related field, or equivalent combination of education and experience. 1-3 years of marketing, communications, project coordination, or related experience. Strong written and verbal communication skills. Excellent organizational and project management skills. Strong attention to detail. Ability to manage multiple projects and deadlines simultaneously. Proficiency with Microsoft Office or Google Workspace. Ability to work collaboratively with technical and non-technical personnel. Ability to learn and communicate complex technical information. Experience working in a technology, scientific, engineering, semiconductor, photonics, quantum technology, or research environment. Experience with B2B or technical marketing. Experience coordinating conferences or scientific events. Experience with website content management systems. Experience with email marketing platforms. Experience with CRM systems. Experience with Adobe Creative Cloud, Canva, or similar design tools. Experience with social media management. Familiarity with Google Analytics or other digital marketing analytics platforms.
