Job Description

Regional Executive Director -
Central & Hawaii Classification:

Summary/Objective:
The Regional Executive Director - Central & Hawaii will run the day-to-day operations of the Northern, Intermountain, Texas, Missouri Valley and Hawaii Divisions for the Racquet Sports Professionals Association (RSPA). This position is responsible for all administrative tasks associated with the Divisions. The Regional ED (Executive Director) will work alongside the volunteer President and Division Board of Directors. The Regional ED will serve as a liaison to the RSPA network on a national, divisional, and regional level and to the divisional committees. This position will be full-time, requiring 40 hours per week, with approximately 2-4 traveling weekends per year. The Regional ED will be required to participate in divisional board meetings, conference calls, the April Executive Committee meeting, divisional conventions, workshops, one-day events, the World Conference in September, and other RSPA meetings and events as needed. These commitments may be held virtually or in person and may occasionally require evening or weekend availability. The Regional Executive Director is an employee of the RSPA National Office. This individual will report to the RSPA CEO and work alongside volunteer Division Presidents and Regional Vice Presidents of their assigned divisions.
Essential Functions :
Membership Development & Outreach:
Lead strategies and initiatives to attract, onboard and retain members Respond to all member emails and phone calls in a timely fashion Follow up with applicants in the pipeline to assist them in getting registered for workshops, division events, etc. Supervise, coordinate and implement all facets of membership development with the board Work closely with the coach developers within division to schedule workshops, publish a full year calendar and promote attendance in workshops Generate membership reports using RSPA Divisions Dashboard. Use reports to keep track of membership numbers and finding ways to reach out to applicants, certified members, retired, etc. Support National Membership department during dues renewal by answering questions new members may have, reaching out to outstanding members and using resources to find new members
Regional Events & Member Engagement:
Plan and execute a calendar of regional, one-day member events in partnership with divisional volunteer leadership Manage event logistics, including venues, contracts, catering, speakers, registration, travel, and on-site execution Coordinate event marketing and communications with the National Marketing team, including email, social media, and promotional materials Coordinate educational programming and ensure continuing education credits are properly captured Support divisional and regional networking and social events, including activities held in conjunction with national events Coordinate sponsorship, fundraising, billing, and event-related financial processes Track and evaluate event participation, revenue, and member feedback to inform future programming Division expenses: Submit monthly expense reports to the National Office within 5-10 days after the conclusion of each month Keep up with expenses daily using the cash report sheet and submit the cash report monthly with supporting documentation Develop and manage yearly budgets, pay bills and send out reports as requested. Reports are normally available at the start of the year, middle of the year, and the end of the year, and at board meetings.
RSPA meetings/events:
National Annual World Conference (assist National staff as needed pre-conference and onsite) Northern, Intermountain, Texas, Missouri Valley and Hawaii Board conference calls Northern, Intermountain, Texas, Missouri Valley and Hawaii Board meetings April Executive Committee meeting Monthly conference call with CEO and other Regional EDs Conventions, workshops, and one day events National level meetings (townhalls, webinars, etc.) Other training or events as needed
Divisional Board Support:
Prepare agendas for meetings, conference calls and committees Work with divisional boards to create a meeting cadence and schedule accordingly Support division boards with programming, setup and execution of divisional events Oversee divisional communications and dissemination of information throughout the division and general communities (quarterly newsletter, brochure, e-blast etc.)
Communications, Marketing & Partnerships:
Develop and distribute weekly divisional communications: Weekly email detailing workshops and job opportunities within the divisions with the option to promote additional events happening within the division as well Weekly social media posts (at least 1) to promote workshops, webinars, national events, jobs, etc. Should be posted across all channels (Instagram, Facebook and LinkedIn) Develop and distribute monthly/quarterly newsletters to divisions Develop and maintain strategic partnerships with relevant racquet sports and industry organizations to promote the growth of racquet sports and increase awareness of
RSPA Required Education and Experience:
Bachelor's degree in Business Administration, Sports Management, Hospitality, Communications, Nonprofit Management, or a related field; equivalent combination of education and relevant experience may be considered 3-5 years of professional experience in association management, nonprofit administration, membership organizations, sports/recreation, hospitality, event management, or a related field Experience working with volunteer leaders, boards, committees, or other stakeholder groups Experience coordinating events, programs, meetings, or educational activities Demonstrated ability to manage multiple priorities, deadlines, and responsibilities independently Strong written, verbal, organizational, and interpersonal skills Proficiency with Microsoft Office Suite Ability to travel and work occasional evenings and weekends as required
Preferred Experience:
Experience working for a professional association or membership-based nonprofit organization Experience with membership management or association management systems Experience managing social media platforms, including Instagram, Facebook, and LinkedIn Experience creating newsletters, digital communications, and promotional materials using Canva or similar graphic design tools Experience with budgeting, expense management, and financial reporting RSPA Member Racquet sports general experience and knowledge Other Duties Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
