Job Description
Caring Hands PCS LLC is a growing non-medical personal care agency committed to providing dependable, compassionate, and professional services to individuals in their homes. We are seeking a reliable, organized, and personable Administrative & Client Care Coordinator to support our daily operations and serve as a primary point of contact for clients, families, caregivers, and potential employees. Position Summary The Administrative & Client Care Coordinator will help manage routine office communications, support caregivers, and conduct client visits. The ideal candidate must be professional, compassionate, organized, comfortable speaking with different personalities, and able to handle confidential information appropriately. Primary Responsibilities Answer and return business telephone calls professionally Respond to routine questions from clients, families, caregivers, and applicants Communicate schedule changes, reminders, and agency updates to employees Conduct scheduled client visits and routine wellness check-ins Follow up with clients and families regarding satisfaction and service concerns Report significant client or employee concerns directly to the owner Assist with scheduling interviews and communicating with applicants Help collect onboarding documents and maintain organized employee and client files Monitor employee credentials and notify management of upcoming expiration dates Assist with drafting and sending routine emails, notices, and reminders Maintain accurate records of calls, visits, concerns, and follow-up actions Protect confidential client and employee information Perform other administrative duties as assigned This Position Does Not Include This is not an HR Director or sales position. Final decisions regarding hiring, discipline, termination, payroll, agency policies, and serious compliance matters will remain with the owner. Qualifications Previous administrative, customer service, healthcare, or home-care experience preferred Excellent verbal and written communication skills Professional and compassionate when working with seniors, individuals with disabilities, families, and caregivers Strong organizational and follow-up skills Ability to work independently and maintain confidentiality Comfortable using email, telephone, video meetings, and basic computer programs Ability to remain calm and professional when addressing concerns Dependable transportation for local client visits Valid driver's license and current automobile insurance Ability to pass all required background and exclusion checks Schedule and Compensation Starting pay: $18.00 per hour Approximately 15-20 hours per week Flexible schedule based on agency needs and scheduled client visits Some work may be completed remotely, but local travel is required Approved business mileage for client visits will be reimbursed Performance and compensation will be reviewed after the 90-day introductory period Ideal Candidate The ideal candidate is dependable, mature, friendly, and confident communicating with clients and employees. We are looking for someone who takes initiative, follows through on assignments, respects professional boundaries, and understands when a concern must be escalated to management.
