About the Role Sanders Fine Portraits is seeking a highly organized, proactive, and relationship-oriented Marketing & Community Partnerships Coordinator to support our growing philanthropic marketing program. Candidates must live within reliable commuting distance of Highland Park, IL and be available to work in person as needed. This is a part-time position with the potential to grow into a full-time role for the right person. This person will coordinate silent-auction donations, cultivate relationships with charitable organizations and community partners, and ensure a polished experience from the first conversation through the auction winner's portrait session. The role combines detailed administrative coordination with warm, professional communication and opportunities to represent Sanders Fine Portraits in meetings with prospective partners. This is a hybrid position that includes both remote administrative work and regular in-studio responsibilities. Meetings with charitable organizations may take place virtually, at the studio, or at a partner's location
- particularly when exploring larger fundraising events, campaigns, and long-term partnerships.
Key Responsibilities Coordinate with our virtual assistant, who researches charitable events and initiates introductory outreach Manage a shared inbox averaging 20-30 messages per day, providing timely and professional responses Communicate with charitable organizations regarding donation requests, acceptances, declines, timelines, and next steps Meet virtually or in person with prospective charitable partners to discuss larger fundraising initiatives and develop mutually beneficial opportunities Build and maintain strong relationships with nonprofit organizations, community partners, and event representatives Coordinate the delivery, shipment, or pickup of auction displays and donation materials Prepare, print, assemble, and mail portfolios, certificates, return envelopes, and other campaign materials Serve as the primary contact for volunteers or organization representatives picking up display samples Track donation activity, partner communications, leads, auction winners, appointments, and results in detailed spreadsheets and reports Serve as the VIP liaison for auction winners, creating a welcoming and seamless experience Proactively follow up with auction winners, answer questions, and guide them through booking their portrait sessions Answer incoming donation and partnership inquiries with warmth and professionalism Maintain and update existing donation and partnership materials using Adobe Photoshop or Canva Collaborate with alliance partners on approved mailing lists and direct-marketing initiatives Monitor supplies-including certificates, portfolios, envelopes, stamps, and prints
