Standard Internship Part Time Description During the internship at Red Bicycle Hall, students will gain business experience in event planning, venue management, hospitality, customer service, entertainment booking, artist relations, marketing, social media, sales, budgeting, vendor management, administrative systems, problem-solving, communication, and small-business operations. They will assist in the full lifecycle of an event—from inquiry and booking through promotion, execution, and follow-up. Most admin/operational/planning/marketing takes place on weekdays (Monday-Thursday), and hours can be flexible based on your school schedule. Most hands-on event execution takes place on weekends (Friday-Sunday). This is an unpaid internship. However, there is potential for a paid bonus at the end of the internship based on number of events worked over the course of the program.
Responsibilities Red Bike Internship Duties:
Event Planning & Booking
  • Research potential bands, comedians, speakers, vendors, and event opportunities
  • Research artist availability, routing, audience fit, and comparable venues
  • Assist with maintaining booking calendars and event schedules
  • Help organize artist, promoter, and client contact information
  • Prepare basic event information sheets and internal planning documents
  • Assist with collecting event details such as timelines, vendor needs, layouts, and equipment requirements
  • Research community events and dates to help avoid scheduling conflicts
  • Learn how venue pricing, contracts, deposits, and rental policies are structured Event Setup & Operations
  • Assist with room setup for concerts, weddings, showers, meetings, parties, and other events
  • Help arrange tables, chairs, linens, décor, signage, merchandise areas, and check-in stations
  • Assist with basic stage and green-room preparation
  • Help prepare green rooms and hospitality areas for performers
  • Check that event spaces are organized and guest-ready before doors open
  • Assist with event transitions and room resets
  • Help monitor supplies during events and communicate needs to management
  • Observe how different event types require different layouts and workflows Day-of Event Management
  • Assist with guest check-in and ticket scanning
  • Greet clients, performers, vendors, and guests
  • Help direct vendors and entertainers to appropriate areas
  • Assist with maintaining event timelines
  • Help communicate between venue management, clients, performers, caterers, and other vendors
  • Assist with merchandise tables when appropriate
  • Help answer basic guest questions
  • Observe problem-solving and decision-making during live events
  • Assist with end-of-night procedures Weddings & Private Events
  • Assist with ceremony and reception setup
  • Help prepare bridal suites, vendor areas, gift tables, guest books, signage, etc.
  • Assist with wedding-day timelines and vendor coordination
  • Learn how venue staff work with planners, caterers, DJs, photographers, florists, and rental companies
  • Assist with showers, birthday parties, rehearsal dinners, corporate gatherings, and celebrations
  • Help document client preferences and special requests Marketing & Social Media
  • Assist with drafting social media posts and event descriptions
  • Help create event content calendars
  • Research marketing ideas for upcoming shows and private-event rentals
  • Assist with gathering photos and video during events when appropriate
  • Help organize event photos and promotional assets
  • Research local Facebook groups, calendars, media outlets, and promotional opportunities
  • Assist with email newsletters and event announcements
  • Help update website event listings
  • Track basic social-media performance and engagement
  • Brainstorm promotions for concerts, comedy, weddings, meetings, and private rentals Community Outreach & Sales
  • Research local businesses, organizations, nonprofits, schools, and groups that may need event space
  • Help develop prospect lists for corporate meetings, holiday parties, celebrations, and private events
  • Assist with outreach preparation and follow-up tracking
  • Research partnership and sponsorship opportunities
  • Help identify local festivals, tourism initiatives, wedding resources, and community organizations
  • Assist with maintaining relationships with past clients
  • Learn how inquiries are turned into bookings Administrative & Office Support
  • Assist with organizing digital and physical files
  • Update contact databases and spreadsheets
  • Enter event information into calendars or management systems
  • Help maintain client, vendor, and performer records
  • Assist with basic email correspondence and follow-ups under supervision
  • Prepare checklists, schedules, signage, and event packets
  • Help inventory office, cleaning, hospitality, and event supplies
  • Assist with filing receipts and organizing expense documentation
  • Learn basic small-business recordkeeping and workflow organization Venue Operations
  • Help maintain inventory of tables, chairs, linens, décor, bar supplies, cleaning products, and event equipment
  • Assist with periodic venue organization projects
  • Help identify maintenance or supply needs
  • Learn opening and closing procedures
  • Assist with creating more efficient storage and organizational systems
  • Help develop venue checklists and standard operating procedures
  • Learn about capacity, safety, accessibility, guest flow, and venue policies Post-Event Responsibilities
  • Assist with cleanup and room resets alongside venue staff
  • Organize décor, furniture, equipment, and supplies
  • Help document damage, missing items, or maintenance concerns
  • Send or prepare client thank-you messages
  • Assist with requesting feedback and reviews
  • Organize event photos and notes for future marketing
  • Participate in post-event discussions about what went well and what could improve One important note: Setup and cleanup are part of learning venue operations, but these tasks will be balanced with booking, planning, marketing, client communication, and project-based work to ensure the internship is a professional learning experience rather than simply event labor.

Beyond live shows, Red Bicycle Hall serves as a versatile event space for weddings, receptions, showers, birthday parties, company gatherings, and other private celebrations. As a small, hands-on business, our team works across many areas of event management—from booking and promotion to event setup, guest experience, and behind-the-scenes operations. Interns have the opportunity to gain real-world experience while helping us create memorable events for our community.
