Job Description The Catering Sales Manager is responsible for generating, developing, and managing catering and event business for the hotel. This position serves as a primary point of contact for clients from the initial inquiry and sales process through event execution and post-event follow-up. The Catering Sales Manager is responsible for achieving assigned revenue goals, maintaining strong client relationships, maximizing catering opportunities, and ensuring that all events are executed in accordance with Hilton brand standards, hotel policies, and established service expectations. The successful candidate must demonstrate strong sales ability, exceptional communication skills, attention to detail, organization, professionalism, and the ability to effectively collaborate with hotel departments. Essential Duties and Responsibilities Sales & Revenue Generation Actively solicit and develop new catering and event business through prospecting, networking, referrals, community relationships, and existing accounts. Respond promptly and professionally to catering inquiries, leads, and requests for proposals. Conduct property tours and presentations for prospective clients. Prepare proposals, menus, packages, contracts, estimates, and other sales materials. Negotiate pricing, menus, minimums, deposits, and contractual terms within established hotel guidelines. Meet or exceed assigned catering revenue, sales activity, conversion, and profitability goals. Identify opportunities to upsell food, beverage, meeting space, guest rooms, audiovisual services, and other hotel services. Maintain an active sales pipeline and accurately document all opportunities. Develop repeat business and maintain long-term relationships with corporate, social, wedding, association, group, and community clients. Participate in networking events, trade shows, client functions, community events, and other business-development activities. Conduct competitive research and remain knowledgeable of local market conditions, competitors, pricing, and event trends. Event & Client Management Serve as the primary contact for assigned catering clients throughout the planning process. Meet with clients to understand their event vision, budget, expectations, and special requirements. Coordinate event details including menus, timelines, room setup, audiovisual needs, décor, entertainment, guest counts, and special requests. Create and maintain accurate banquet event orders (BEOs), resumes, contracts, diagrams, and related event documentation. Conduct pre-convention and event planning meetings as required. Communicate all event details accurately and timely to Banquets, Culinary, Front Office, Housekeeping, Engineering, Finance, and other applicable departments. Conduct final event reviews with clients and hotel operating departments. Monitor changes to event specifications, guest counts, menus, and contractual requirements. Ensure that client requests are properly documented and communicated before and during the event. Follow up with clients after events to obtain feedback, resolve concerns, and identify future business opportunities. Financial & Administrative Responsibilities Maintain accurate records of leads, accounts, contracts, deposits, revenue, and event details in the hotel's sales/catering systems. Monitor event profitability and ensure that pricing and concessions are consistent with approved guidelines. Review contracts and event documentation for accuracy. Ensure deposits, payments, guarantees, cancellation policies, and other financial requirements are properly communicated and followed. Work closely with Finance/Accounting regarding billing, deposits, accounts receivable, credits, and outstanding balances. Maintain accurate forecasts and provide timely updates regarding catering revenue and booking pace. Assist with monthly, quarterly, and annual sales reports and forecasts. Ensure all required documentation is completed according to hotel and Hilton standards. Communication & Team Collaboration Maintain open and professional communication with all hotel departments. Participate in daily/weekly operations and sales meetings as assigned. Communicate VIP, special occasion, dietary, accessibility, and other important client requirements. Provide clear and timely information to Banquet and Culinary teams to ensure successful execution. Work collaboratively with the Director of Sales, Director of Catering, General Manager, Executive Chef, Banquet Manager, and other leaders. Support the hotel's overall sales strategy and revenue objectives. Demonstrate professionalism and maintain positive working relationships with colleagues and clients. Required Qualifications High school diploma or equivalent required. Associate's or Bachelor's degree in Hospitality Management, Business Administration, Sales, Marketing, or a related field preferred. Minimum of 2-3 years of experience in hotel sales, catering sales, event management, hospitality, or a related field preferred. Previous experience in a hotel, resort, conference center, banquet operation, or event venue strongly preferred. Previous experience managing client accounts and revenue-producing events preferred. Excellent communication, presentation and negotiation skills. Experience with banquet event orders, contracts, catering menus, and event planning preferred. Ability to learn and effectively use Hilton and hotel-specific technology and systems Work Environment & Schedule Must be available to work a flexible schedule based on business demands. Position may require evenings, weekends, holidays, and extended hours based on event schedules. Must be available to attend client meetings, property tours, networking events, and hotel functions outside of traditional business hours. Must be able to remain professional and composed in a fast-paced, high-volume hospitality environment. Regular interaction with guests, clients, hotel leadership, vendors, and hotel associates is required. Physical Requirements Ability to sit, stand, and walk for extended periods. Ability to tour meeting and event spaces throughout the property. Ability to move throughout banquet and event areas before and during events. Ability to occasionally lift or move materials associated with event setup, displays, or sales activities. Ability to use computers, telephones, mobile devices, and other office equipment for extended periods. Client retention and repeat business. Forecast accuracy. Profitability and average check/revenue performance. Timeliness and accuracy of BEOs and event documentation. Client satisfaction and guest experience. Response time to inquiries and leads. Internal communication and teamwork. Compliance with Hilton and hotel standards. Professional conduct and leadership behavior. Ability to resolve issues and deliver successful events. Core Expectation The Catering Sales Manager is expected to sell the hotel, protect the hotel's revenue, build lasting client relationships, and ensure that every event is accurately planned and professionally communicated to the operating team. The position requires a strong balance of sales performance, client relationship management, financial responsibility, operational knowledge, leadership, and exceptional hospitality.
